Travel Planning & Booking Coordinator

Job Overview

Our client, a solo luxury travel advisor, is seeking a meticulous and reliable Travel Planning & Booking Coordinator to manage critical operational tasks during a pivotal business transition period. This role is designed to serve as a dedicated right-hand, handling day-to-day logistics and administrative workflows to allow the advisor to focus on high-level client strategy. You will be responsible for everything from detailed itinerary management to researching complex insurance options, ensuring every client experience is seamless and professional. This is an ideal position for a detail-oriented individual with a background in the travel industry who thrives on organization and high-trust collaboration.

Schedule

  • Monday - Friday, 10:00 AM - 2:00 PM CT (20 hours per week)

Responsibilities

  • Itinerary Management: Manage and update client itineraries and trip details within travel planning platforms such as Axus and TravelJoy.
  • Insurance Research: Research and compile trip insurance quotes across various providers to present clear options to clients.
  • Supplier Coordination: Prepare and send pre-arrival confirmation letters to hotels and travel suppliers; assist with cruise payments and reservation tracking.
  • Administrative Organization: Maintain and organize client records, documents, and correspondence using Google Sheets and Google Docs.
  • Professional Communication: Draft and send professional correspondence to suppliers and partners on behalf of the advisor.
  • Workflow Support: Handle general administrative tasks, including email management, document formatting, and ad-hoc projects as needed.
  • Confidentiality: Maintain strict discretion when accessing sensitive client data, payment platforms, and booking systems.

Requirements

  • Industry Experience: Prior experience in a travel assistant, travel coordinator, or similar administrative support role within the travel industry.
  • Technical Familiarity: Knowledge of travel planning platforms and online booking systems.
  • Communication Skills: Strong written communication skills with a professional, polished, and client-facing tone.
  • Meticulous Detail: High level of attention to detail, especially when handling financial information and complex travel logistics.
  • Productivity Tools: Proficiency in Google Workspace (Sheets, Docs) and general office productivity software.
  • Sound Judgment: Ability to work independently, follow complex instructions, and exercise discretion in a fast-paced environment.

Qualifications

  • Proven ability to manage competing priorities in a remote setting.
  • Experience in the luxury travel sector is a plus.
  • Strong organizational skills with a focus on long-term workflow integration.
