Job Summary
The LOP (Letter of Protection) Administrator is responsible for coordinating communication between the practice and law firms to secure timely approval for clients referred for services under an LOP agreement. This role ensures that all referrals, documentation, and approvals are handled accurately, efficiently, and in compliance with internal standards and legal requirements. The Administrator serves as a key point of contact for law firms, ensuring cases move forward smoothly and without delays.

Schedule: Monday to Friday 8:30am to 5:30pm CST
Client Timezone: US Central Time (Houston, Texas)

Key Responsibilities

  • Review and respond promptly to incoming emails and faxes regarding new referrals and LOPs received from law firms.
  • Enter new referrals into MyCase as leads, ensuring accuracy and completeness of client information.
  • Upload case-related documents into MyCase for proper recordkeeping and case tracking.
  • Prepare, send, and manage LOP approval requests via email and fax to law firms.
  • Track all pending requests, maintaining up-to-date records of correspondence and status updates.
  • Follow up consistently with law firms by phone and email to obtain approvals in a timely manner.
  • Maintain clear communication with internal teams to provide updates on the status of referrals and approvals.
  • Ensure compliance with confidentiality and legal standards when handling sensitive client information.
  • Support the team with additional administrative tasks and special projects as assigned.
