Construction Administration Assistant (Building Maintenance & Repairs)

Job Overview

Our client is looking for a detail-oriented and proactive Construction  Administration Assistant with experience supporting construction or property maintenance operations. This role will focus on managing client inquiries, handling quotations and invoicing through Xero, maintaining subcontractor compliance documentation, and ensuring smooth administrative support for ongoing construction and maintenance projects. The ideal candidate has strong experience in construction administration, excellent communication skills, and the ability to work independently in a fast-paced environment.

Client Overview

Our client is a Perth-based building maintenance and repair company specializing in commercial, strata, and industrial property maintenance projects. Their services include building repairs, waterproofing, concrete remediation, makegoods, and general maintenance works for property managers and commercial clients across Perth and surrounding suburbs.

Schedule

  • Monday - Friday, 9:00 AM - 1:00 PM AWST (20 hours per week)

Responsibilities

  • Inquiry Management: Manage incoming construction inquiries and requests for quotations, ensuring timely responses and follow-ups.
  • RFQ Tracking: Track and follow up on outstanding RFQs to maximize project opportunities.
  • Financial Processing: Process and issue invoices accurately and on schedule using Xero.
  • Procurement Support: Create and manage purchase orders to support project procurement requirements.
  • Communication: Handle client communication via phone and email in a professional manner.
  • Compliance Coordination: Coordinate with subcontractors to collect WHS and CM3 compliance documentation.
  • Records Maintenance: Maintain accurate and organized records of financial, operational, and compliance documents.
  • Project Support: Support the project team with administrative tasks related to ongoing maintenance and repair works.
  • Workflow Monitoring: Monitor documentation workflows to ensure deadlines and compliance requirements are met.

Requirements

  • Proven experience using Xero for invoicing, purchase orders, and financial administration.
  • Previous experience in construction, building maintenance, or property administration.
  • Strong understanding of construction administrative workflows.
  • Excellent written and verbal communication skills.
  • High attention to detail, especially with invoicing and compliance documentation.
  • Ability to work independently with minimal supervision.
  • Experience handling subcontractor documentation and WHS requirements.
  • Familiarity with CM3 compliance processes is highly preferred.
  • Strong organizational and time management skills.
