Job Overview
Our client, a respected, long-standing family plumbing business, is looking for a highly organized and proactive Business Operations & Marketing Assistant to become a cornerstone of their team. This pivotal role is designed to significantly alleviate administrative burdens, streamline core business operations, and enable future growth. You will be instrumental in optimizing data management, improving operational efficiency, and enhancing client engagement. The successful candidate will help the company achieve its 12-month goals of increased quoting capacity and overall business control, freeing up the core team to focus on their technical expertise.

Monday - Friday, 8:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 hours per week)
Responsibilities
- Database Management: Systematically clean, update, and optimize the 10,000-client database within Simpro to ensure data accuracy and consistency.
- Lead Coordination: Set up all incoming work orders as new leads in Simpro and prepare job orders and card files for office staff scheduling.
- Inbox Management: Filter and triage the owner's email inbox, prioritize urgent communications, and draft professional responses to routine client and real estate agent inquiries.
- Marketing & Engagement: Develop and schedule social media content (3 times weekly) and manage targeted bulk messaging campaigns using Podium.
- Financial Administration: Process client invoices, generate statements, assist with basic payment reconciliation, and enter supplier bills into Simpro and MYOB.
- Documentation & Reporting: Document existing administrative workflows to create comprehensive Standard Operating Procedures (SOPs) and generate basic business intelligence reports from Simpro.
- System Maintenance: Organize and archive digital assets in Dropbox and perform follow-ups on outstanding quotes and proposals within Simpro.
- Executive Support: Provide general administrative and ad-hoc personal assistant support to the business owner.
Requirements
- Industry Experience: Proven experience in an administrative or operations support role, preferably within a trade-based or service industry.
- Technical Mastery: Advanced proficiency with Simpro (Job / Field Service Management) is essential.
- Software Proficiency: Proficient in MYOB, Podium, Microsoft 365 (especially Outlook and Excel), and Dropbox.
- Organizational Excellence: Exceptional organizational skills with meticulous attention to detail regarding data integrity and cleanup.
- Communication: Strong written and verbal communication skills with the ability to draft professional business correspondence.
- Marketing Knowledge: Experience with social media content scheduling and basic marketing campaign execution.
- Autonomy: Ability to work independently, prioritize tasks effectively, and manage multiple projects simultaneously.
