Business Operations & Marketing Assistant

Job Overview

Our client is looking for a detail-oriented Business Operations & Marketing Assistant to streamline their operational systems and enhance their digital presence. This role is a hybrid of technical data management, administrative optimization, and creative marketing support. The successful candidate will be a proactive problem-solver responsible for maintaining high standards of data integrity while driving business growth through targeted content and process documentation.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM AEST [Sydney], with 1 hour unpaid break (40 hours per week)

Responsibilities

  • System Management: Systematically manage and optimize client records within job management software (e.g., SimPro), ensuring accuracy, completeness, and consistency.
  • Reporting & Analysis: Configure and leverage reporting features within job management software to generate key business insights, including job costing and client history.
  • Administrative Support: Provide comprehensive operational and administrative support, including processing incoming job requests, managing email correspondence, and assisting with accounts receivable tasks.
  • Digital Organization: Organize and maintain digital files and archives (e.g., Dropbox), ensuring proper version control, consolidation, and accessibility.
  • Marketing Execution: Develop and execute a consistent social media content plan, schedule updates across relevant platforms, and assist with website content to enhance digital presence.
  • Growth Support: Support targeted marketing campaigns using cleaned client data and research new work channels and tendering opportunities to drive business growth.
  • Documentation: Document existing administrative workflows and create Standard Operating Procedures (SOPs) for key processes, building a searchable knowledge base for efficiency and business continuity.

Requirements

  • Proven experience with job management software (e.g., SimPro, WonderBuild, or similar robust CRM/project management systems).
  • Strong data management skills with meticulous attention to detail for record cleaning, standardization, and reporting.
  • Proficiency in digital marketing, including social media content creation, scheduling, and basic website updates.
  • Excellent organizational and time management abilities, capable of prioritizing tasks and managing multiple projects simultaneously.
  • Demonstrated ability to create clear and comprehensive Standard Operating Procedures (SOPs) and build knowledge bases.
  • Experience with email management, digital file organization (e.g., Dropbox), and basic accounts receivable support.
  • Proactive problem-solver with a strong desire to identify efficiencies and implement improvements.
  • Reliable internet connection and a dedicated home office setup.
