HIPAA Certified Patient Care Coordinator
Job Description:
You’ll be the vital connection between prospective patients and two premium healthcare practices, ensuring every interaction reflects their boutique, high-touch approach. This role puts you at the center of patient communications, where you’ll manage the entire patient journey from initial inquiry to scheduled appointments. You’ll work directly with the practice owners, handling everything from lead capture to appointment optimization, all while maintaining the personalized service standards that set these practices apart from typical healthcare providers.
Client Overview:
Join a dynamic healthcare team supporting both a boutique med spa and cosmetic dentistry practice that serves an exclusive, high-end clientele. These complementary practices share patients and focus on delivering personalized, premium healthcare experiences rather than high-volume services. You’ll be the front-line ambassador helping capture leads and manage patient relationships as they expand their marketing efforts.
Schedule:

Monday to Friday, 9AM to 5PM San Diego, CA with 30 minutes paid break (40 hours per week)
Responsibilities:
- Manage full client communication via text and email using provided scripts
- Handle appointment scheduling, rescheduling, and booking requests from online platforms
- Capture and funnel leads to virtual consultations for both med spa and dental services
- Respond to patient aftercare questions and escalate medical inquiries to practitioners
- Conduct pre-assessments of prospective patients via email
- Filter and optimize patient placement on provider schedules for maximum efficiency
- Provide basic business support and administrative assistance
- Manage patient inquiries through Boulevard booking system, Gmail, and Weave phone system
- Light scribing responsibilities
Requirements:
- Minimum 3 years of customer service experience
- HIPAA certification and understanding of patient privacy requirements
- Personable communication style with comfort handling phone calls when needed
- Experience with web-based systems and ability to learn new platforms quickly
- Previous experience in med spa, dental, healthcare, or luxury client services strongly preferred
- Strong written communication skills for email and text interactions
