Data Entry & Operations Administrator
Role Summary
We are seeking a highly meticulous and proactive Data Entry & Operations Administrator to support our growing service team. In this role, you will be the backbone of our customer information systems, ensuring that every new account and contract is transcribed with 100% accuracy.
Unlike a general administrative role, this position is laser-focused on data integrity, contract auditing, and backend billing support. You will act as a critical "filter" for our sales and inspection teams, identifying inconsistencies and ensuring our customer data remains flawless.

Key Responsibilities
- Contract Transcription: Review service contracts and accurately transcribe details into our proprietary software system to set up new customer accounts.
- Data Auditing & Validation: Conduct regular audits within our customer database to ensure information is consistent, complete, and properly formatted.
- Proactive Coordination: Review notes from sales representatives and inspectors; identify unclear communication or pricing errors and confidently "push back" to request clarification.
- Backend Billing Support: Handle work order associations and assist with backend billing tasks to ensure customers are invoiced correctly.
- Information Integrity: Identify and report anomalies in the data, ensuring all entries adhere to security policies and confidentiality protocols.
- Reporting: Generate data-related reports and respond to team queries regarding account status and contract history.
Requirements
- Exceptional Attention to Detail: A "good eye" for catching small errors that others might miss, especially regarding pricing and contract terms.
- Communication & Confidence: Strong English verbal and written skills with the ability to professionally question inspectors or sales staff when data is unclear.
- Technical Proficiency: Advanced skills in Microsoft Excel and Google Sheets; ability to quickly learn and master new proprietary software systems.
- Speed & Precision: Ability to type quickly without sacrificing accuracy, specifically when performing high-volume "copy-paste" and data migration tasks.
- Organizational Skills: Strong multitasking abilities with a commitment to meeting deadlines in a fast-paced service environment.
Highly Regarded Skills & Experience
- Previous experience in a data-intensive role or backend billing environment.
- Familiarity with database management or CRM systems.
- Knowledge of data validation and cleaning techniques.
- Ability to interpret and analyze data for the purpose of operational reporting.
