Job Overview
We are seeking a reliable, organized, and fully bilingual Administrative Assistant to manage daily office operations for an HVAC services company. This role serves as the primary point of contact for a diverse customer base and supplier network. The ideal candidate will have 2-5 years of experience in administrative roles and must be able to conduct business seamlessly in both Spanish and English.

- Hours: Mon-Fri 9:00 AM – 5:00 PM EST

Responsibilities
- Bilingual Communication: Answer and manage incoming customer calls professionally in both Spanish and English.
- Supplier Coordination: Contact suppliers to order parts and materials as needed.
- Financial Tracking: Track and organize invoices and financial documentation.
- Scheduling: Manage service appointments and maintain the business calendar to ensure technician efficiency.
- Office Support: Provide general administrative support and act as a front office coordinator.
Must-Have Requirements
- Language: Native or near-native fluency in both Spanish and English (written and verbal).
- Experience: 2-5 years of experience in an administrative assistant or front office role.
- Communication: Excellent phone etiquette and the ability to pivot between languages effortlessly.
- Organization: Strong skills in managing schedules, invoices, and documentation.
Nice-to-Have Requirements
- Experience working in the HVAC industry or a related trade.
- Familiarity with supplier ordering and inventory tracking processes.
