Job Overview
Our client is looking for a detail-oriented and proactive Tender Coordinator / Bid Manager to support Nova Group Pacific’s growth through effective panel management and high-quality tender submissions. As a starting point, you will be responsible for identifying growth opportunities and ensuring the firm remains competitive within geotechnical, environmental, and building consulting sectors.
Schedule
Monday - Friday, Flexible from 6:00 AM - 8:00 PM AEST, with 1 hour unpaid break (40 hours per week)

Responsibilities Panel & Procurement List Management
- Proactively research and identify relevant council, state government, and industry panel arrangements and preferred supplier registers aligned with company disciplines.
- Prepare and submit applications for new panels, including capability statements, compliance documentation, and supporting materials.
- Manage the renewal and maintenance of existing panel memberships, tracking expiry dates and compliance obligations.
- Maintain a comprehensive register of all current and target panels and procurement lists.
- Coordinate the collection of compliance documentation such as insurances, WHS policies, and quality management files.
- Develop an understanding of Australian local and state government procurement frameworks to inform submission strategies.
Tender Preparation & Submission
- Monitor tender portals and government procurement platforms (e.g., AusTender, VendorPanel, Tenderlink) to identify relevant opportunities.
- Coordinate and prepare high-quality tender responses and Expressions of Interest (EOIs) from identification to final submission.
- Liaise with technical staff and directors to gather required inputs, including CVs and project experience.
- Write, edit, and format proposal content to ensure submissions are clear, compelling, and tailored to client requirements.
- Maintain and improve a central library of reusable content, including company profiles and project case studies.
- Proactively flag upcoming opportunities and deadlines to the management team for resource planning.
- Assist with post-submission reviews and feedback capture to drive continuous improvement.
Requirements
- Proven experience in tender coordination, bid management, or proposal writing within professional services, engineering, or construction environments.
- Tertiary qualification in Business, Communications, or a related field.
- Highly desirable: Engineering background or working knowledge of geotechnical, environmental, or civil engineering services.
- Strong writing and editing skills with the ability to produce structured submissions in high-quality English.
- Excellent organizational skills with the ability to manage multiple deadlines and stakeholder inputs.
- Experience using tender portals and procurement platforms (e.g., AusTender, VendorPanel, Tenderlink).
- Proficiency in Microsoft Office Suite.

This is a permanent work-from-home role under an Independent Contractor arrangement.
