QuickBooks Bookkeeping and Admin Assistant

You'll own the financial backbone of three distinct business entities, ensuring accurate records and seamless operations across diverse industries. This role offers the unique opportunity to gain cross-industry experience while working with established systems and processes. You'll be the financial steward for businesses ranging from straightforward sales operations to complex construction projects and investment activities, all supported by quarterly CPA oversight to ensure accuracy and compliance.

Responsibilities:

  • Maintain comprehensive financial records and ledgers across three separate business entities
  • Process accounts payable and receivable for sales distribution, construction, and investment operations
  • Perform monthly bank reconciliations and transaction matching across multiple business accounts
  • Prepare accurate trial balances and financial statements for each entity
  • Handle payroll processing and tax calculations with precision
  • Coordinate seamlessly with external CPA for quarterly reviews and compliance verification
  • Manage all bookkeeping functions within QuickBooks software environment
  • Support financial decision-making through timely and accurate reporting

Requirements

  • You bring 2-5 years of hands-on bookkeeping experience and proficiency with QuickBooks software.
  • You're skilled in accounts payable/receivable processing, bank reconciliation procedures, and financial statement preparation.
  • You understand payroll processing and tax calculations, and you thrive working independently while managing multiple business entities with strong attention to detail and accuracy.
  • Bonus if you have experience with construction or investment industry bookkeeping, or if you're comfortable taking on light administrative tasks as the businesses grow.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
