Executive Assistant

The Role
We’re looking for a highly capable, proactive Executive Assistant to work directly with the Founder. This is not a reactive, wait-to-be-told role. You’ll be the operational glue behind the founder’s day — managing communications, owning follow-throughs, and making sure every open task gets fully closed without a second reminder.

You’ll work remotely, approximately 20–25 hours per week. The ideal candidate doesn’t wait to be told what to do next — they read the situation, learn the patterns, and move before being asked. About the Client

Client is an Oakland-based video production company serving Fortune 500 companies, tech firms, and nonprofits. We produce high-impact content for clients including Google, Intel, Home Depot, and Rolex. We’re a lean, fast-moving team operating across multiple entities — with big ambitions and systems to match.

Schedule:

  • Monday to Friday, 8am to 12pm PST | 4 hrs/day, 20 hrs/week

Responsibilities

  • Communications — Draft, send, and manage emails with clarity and professionalism; set up accounts and registrations for new employees and vendors
  • Feedback Loop — Proactively update the founder on the status of every open task — no radio silence, no assumptions. If something is delayed, you communicate that before it becomes a problem
  • Anticipation & Initiative — Learn how the founder works, what’s coming next, and act on it without waiting to be asked. You connect the dots between what was said last week and what needs to happen today
  • Task Follow-Through — Track all open items, follow up with internal team members and external contacts, and close the loop completely — without being asked twice
  • Onboarding Logistics — Coordinate new hire setup including account creation, document collection, and tool access
  • Scheduling & Coordination — Manage the founder’s calendar, meetings, and confirmations with clients, crew, and vendors
  • Tech & Tools — Learn and adapt to new software quickly; help identify where technology can remove friction from recurring tasks

Requirements

  • Have worked as an EA or similar role supporting a founder, CEO, or senior executive
  • Anticipate needs — you rarely need to ask what to do next because you’ve already figured it out
  • Are a learner by nature — you study how the people you support work and adapt quickly
  • Communicate clearly, consistently, and proactively — your default is to over-communicate, not under-communicate
  • Close the feedback loop without being asked — the founder always knows where things stand
  • Follow through on every task — fully, not partially
  • Are genuinely excited about technology and stay current on new tools
  • Pick up new software fast and don’t need hand-holding to figure things out
  • Can manage multiple priorities without dropping anything

Bonus Points

  • Experience with AI tools (ChatGPT, Claude, Notion AI, or similar)
  • Familiarity with automation tools like Zapier, Make, or n8n
  • Background in creative industries, media, or production

Side Note

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
