Administrative Assistant – Growing Design Firm | Remote | Immediate Start

Job Description

In this role, you’ll provide essential administrative and operational support to ensure smooth day-to-day business functions. You will manage data, maintain organized systems, and assist with internal processes using tools like Houzz Pro. This position is ideal for someone detail-oriented, proactive, and comfortable handling multiple administrative responsibilities in a fast-paced, remote environment.

This growing business uses industry-standard tools like Houzz Pro and values organization, efficiency, and strong administrative support. You’ll work closely with a hands-on business owner who manages client relationships while building scalable backend systems.

Schedule:

  • Part-time (10 hours per week), Monday to Friday 11am to 1pm

  • Client Timezone: EST

Responsibilities

  • Input and manage data in proposals, purchase orders, and invoices using Houzz Pro
  • Perform general administrative tasks to support daily operations
  • Maintain and organize spreadsheets and project-related data
  • Assist with client and project documentation to ensure accuracy and consistency
  • Support marketing and platform-related updates within Houzz Pro
  • Help streamline workflows and improve administrative systems
  • Provide general back-office support as business needs evolve
  • Learn and manage the Houzz Pro system to support operational efficiency
  • Handle multiple tasks while maintaining strong attention to detail and accuracy

Requirements

  • Proven experience in an administrative, virtual assistant, or similar support role
  • Strong attention to detail, especially in data entry and documentation
  • Excellent English communication skills (written and verbal)
  • Proficiency with spreadsheets (Excel/Google Sheets) and administrative tools
  • Ability to quickly learn new systems (experience with Houzz Pro is a plus)
  • Strong organizational and time management skills
  • Ability to work independently and manage multiple priorities effectively
  • Reliable internet connection for remote work

Nice to Have

  • Experience with proposal creation, invoicing, or purchase order systems
  • Familiarity with project management or CRM tools
  • Background supporting small businesses or service-based companies

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
