Spanish Bilingual Property Management Assistant - Long term rentals (AppFolio)

We are seeking a full-time Property Management Assistant to support a fast-paced property management company specializing in long-term rentals. This role is execution-focused, handling daily operations, tenant and vendor communication, and administrative tasks using AppFolio, ShowMojo, Google Drive, and other third-party platforms. The assistant will follow established processes and escalate decisions to the Property Manager.

Schedule:

  • Full-time (40+ hours per week)
  • M-F, 9AM-6PM, Eastern
  • Must be available during Eastern Time business hours

Responsibilities

Tenant, Vendor, and Owner Communication

  • Manage high-volume communication via email, text, and phone
  • Monitor and follow up on tenant delinquencies
    • Initiate outreach and track payments
    • Prepare and send notices as directed

Maintenance Coordination

  • Manage work orders from start to finish
    • Intake, tenant communication, and troubleshooting
    • Vendor scheduling and follow-up
    • Ensure completion and proper documentation

Move-Ins and Move-Outs

  • Confirm utilities and required documents
  • Send instructions and schedule inspections

Rental Applications & Leasing Support

  • Review and process rental applications
    • Verify information and supporting documents
    • Organize files and prepare for Property Manager review
  • Follow up with leasing leads and prospects
    • Respond to inquiries and assist with scheduling
    • Support conversion from lead to application
  • Assist with lease renewals and tenant follow-up

Insurance & Compliance

  • Maintain insurance compliance for tenants and vendors
    • Track, collect, and update required documents

Platform & File Management

  • Monitor and manage third-party platforms
    • Marketing/listing platforms
    • Screening and application systems
    • Other operational tools as assigned
  • Organize and maintain files in Google Drive and AppFolio
  • Maintain professionalism and brand consistency in all communications

Requirements / Preferred Skills

  • Bilingual in English and Spanish (required – must be comfortable speaking with tenants)
  • Prior experience in property management or real estate
  • Experience with AppFolio or similar property management software preferred
  • Strong written and verbal communication skills
  • Excellent organization and attention to detail
  • Ability to manage multiple tasks and follow up consistently
  • Proactive, reliable, and able to work independently
  • Comfortable handling a high volume of tasks and communications daily
  • Able to learn and manage multiple software systems simultaneously

Scope & Work Environment

  • Support approximately 90+ units (residential and commercial)
  • Handle day-to-day operational and administrative tasks
  • Serve as the primary point of contact for routine tenant communication
  • Full-time role (40+ hours per week)
  • Must be available during Eastern Time business hours
  • High-volume environment, especially during peak leasing season

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
