Schedule: 20 hours per week, Monday to Thursday, 7am-12pm AEST

Role Overview

We are seeking a reliable and detail-oriented Administration and Data Entry Coordinator to support our business with accurate data management and reporting. This role is ideal for someone who is highly analytical, organized, and comfortable working with spreadsheets to interpret and maintain data.


Key Responsibilities

Initial Focus (Data Entry & Maintenance)

  • Enter data accurately into spreadsheets and internal systems

  • Clean, validate, and standardize service and maintenance data

  • Update job descriptions and billing information (no prior industry experience required)

  • Support reporting for the service department, including workload, compliance, and service history

Administrative Support

  • Answer general emails and inquiries as required

  • Maintain digital and physical filing systems

  • Prepare and format documents, presentations, and reports

  • Assist with internal communications and team coordination

  • Order office supplies and manage inventory records

  • Assist with basic scheduling and calendar management


As Role Progresses (Operational & Analytical Support)

  • Assist with scheduling support and job preparation

  • Analyze data to support forecasting and performance tracking

  • Undertake general operational support tasks to reduce administrative load on the service team


Required Skills & Experience

  • Strong attention to detail and high accuracy in data entry

  • Analytical mindset with the ability to interpret data logically

    • Proficiency in Microsoft Excel (formulas, sorting, filtering) and Google Sheets

  • Strong organizational and time-management skills

  • Ability to work independently in a remote environment

  • Comfortable performing general administrative tasks (filing, email correspondence, document preparation)

  • Ability to follow established processes and meet deadlines consistently
