Role Overview
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide day-to-day administrative and operational support to an executive and internal team. This role requires strong written and verbal English communication skills, excellent follow-through, and the ability to manage multiple tasks and stakeholders with professionalism and discretion. The ideal candidate is comfortable working independently, handling confidential information, and ensuring tasks, communications, and documents are accurate, organized, and completed on time.

Tasks and Responsibilities

  • Review emails, documents, and communications for spelling, grammar, clarity, and accuracy prior to sending

  • Assist with document preparation using Microsoft Word and Excel (basic formatting, tables, lists, and simple spreadsheets)

  • Provide administrative support related to basic business and accounting tasks (e.g., organizing financial documents, assisting with client correspondence, tracking items requested from clients)

  • Communicate professionally with clients, vendors, and internal team members via email and Microsoft Teams

  • Maintain organized digital files and records

  • Support ad hoc administrative and organizational tasks as needed

  • Provide daily and weekly status reports summarizing:
    • Tasks completed
    • Tasks in progress
    • Tasks outstanding or overdue
    • Any issues, delays, or follow-ups required

Required Experience and Knowledge

  • Strong written and spoken English skills (must be fluent and professional)

  • Prior experience as an administrative assistant, executive assistant, or office administrator

  • Proven ability to track, manage, and follow up on multiple tasks across multiple people

  • Proficiency with Microsoft Office products, including:

    • Outlook (email and calendar management)

    • Word (document editing and formatting)

    • Excel (basic spreadsheets, task tracking, data entry, simple formulas)

    • Microsoft Teams (chat, meetings, file sharing)

  • Experience managing executive calendars and email inboxes

  • Ability to create, manage, and maintain a Calendly account

  • Strong attention to detail, especially for spelling, grammar, accuracy, and deadlines

  • Excellent organizational, time-management, and follow-through skills

  • Ability to communicate professionally and confidently when following up with employees

  • Ability to handle confidential and sensitive information


Highly Regarded Experience and Knowledge
(Preferred but not essential)

  • Basic business, accounting, or bookkeeping knowledge

  • Prior experience supporting a professional services firm (accounting, finance, legal, or consulting)

  • Experience with task management systems or workflow tools (e.g., task lists, dashboards, or project trackers)

  • Experience preparing summary reports or executive-level status updates

  • Ability to proactively identify bottlenecks, missed deadlines, and process improvements
