Customer Service & Admin Support Specialist

Role Overview

Our client is an education and coaching business serving authors and creatives. We are seeking a highly organized, detail-oriented assistant to support customer service, administrative operations, and content execution across multiple platforms.

This role is execution-focused and process-driven. All content, copy, graphics, and instructions are provided. You will not create content, write marketing copy, design assets, or make strategic decisions. Success in this role depends on accuracy, consistency, follow-through, and excellent customer communication.

Key Responsibilities

1. Customer Service & Inbox Management (20–25%)

You will serve as the primary customer support contact via email and social platforms.

  • Checking the support inbox 2–3 times daily

  • Responding to all customer inquiries within 24 hours

  • Monitoring and responding to social media comments and DMs

  • Following customer service templates and SOPs

  • Resolving login and access issues for courses, memberships, and digital products

  • Assisting customers with webinar access and replay pages

  • Troubleshooting basic platform issues using provided documentation

  • Tracking all support tickets in Airtable

  • Flagging urgent or unusual issues to management

Expectations:

  • Warm, solution-oriented communication

  • Clear, complete responses

  • Strong follow-through to ensure no inquiry is missed

  • Comfort communicating both publicly and privately

 

2. Calendar Management & Scheduling (10–15%)

You will manage scheduling to ensure smooth daily operations.

  • Maintaining and updating Google Calendar

  • Scheduling coaching calls, meetings, podcasts, and internal sessions

  • Preventing conflicts and double bookings

  • Rescheduling appointments according to SOPs

  • Sending confirmations and reminders as needed

  • Protecting designated “deep work” time blocks

 

3. Website Maintenance & Optimization (15%)

This work is implementation-only. All content and instructions are provided.

  • Updating existing blog posts using SOPs (copy/paste only)

  • Refreshing internal and external links

  • Updating metadata (titles, descriptions, slugs) as instructed

  • Adding or updating CTAs using provided copy

  • Formatting blog posts from supplied text or transcripts

  • Adding alt text to images

  • Maintaining event, replay, and resource pages

  • Performing monthly broken-link checks

*No SEO strategy or writing is required—only accurate execution.

 

4. Administrative Platform Support & Content Maintenance (15–20%)

You will maintain and update content across multiple platforms using provided assets and instructions.

  • Uploading and updating content across platforms

  • Copying, pasting, and formatting text using templates

  • Ensuring links, buttons, and references are accurate

  • Updating older content when SOPs or offers change

  • Maintaining consistency across platforms

YouTube & Media Platforms

  • Upload videos and Shorts (files provided)

  • Update titles, descriptions, and links using templates

  • Maintain playlists and update older descriptions as needed
    (No video editing or creative decisions required.)

Website & Digital Assets

  • Update event, replay, and resource pages

  • Apply copy/paste updates when messaging changes

  • Perform routine checks for accuracy and functionality

Merchandise & Listings

  • Upload products to Printful/Printify using provided assets

  • Sync products to Etsy and the website

  • Add descriptions, pricing, and tags from templates

  • Select mockups from provided files

  • Make routine listing updates

  • Monitor orders and handle basic merch-related customer inquiries

 

Required Skills

  • Excellent written English

  • Ability to follow SOPs exactly

  • Proficiency with Google Workspace

  • Comfort uploading and managing content across platforms

  • Strong organizational skills

  • Reliability and consistency
