Job Description: 

You’ll be the right hand to a principal lawyer, taking ownership of critical administrative functions that keep a busy legal practice running smoothly. This role offers exceptional exposure to legal operations, from managing case files and legal databases to supporting court proceedings. You’ll play a vital part in ensuring seamless client service while gaining valuable experience in the legal industry. As the practice grows, so will your responsibilities and opportunities for professional development.

 

Responsibilities:

  • Manage and organize emails within legal database systems and transfer case information between platforms
  • Review and proofread legal documents before client delivery to ensure accuracy and professionalism
  • Coordinate diary management and scheduling for the principal lawyer
  • Prepare court bundles by collating documents and creating hyperlinked PDF presentations
  • Process monthly legal aid invoices and handle data entry tasks
  • Follow up on outstanding client invoices through email, phone, and SMS communications
  • Locate and retrieve case documents and files when the lawyer is traveling or in court
  • Organize and maintain digital file systems and shareable document folders
  • Provide comprehensive administrative support to enhance practice efficiency
  • Support client communications and maintain professional correspondence standards

 

Requirements:

  • Fluent English communication skills with strong written and verbal abilities
  • Experience with document management systems and administrative software
  • Exceptional attention to detail for legal document review and proofreading
  • Proficiency in data entry and basic administrative tasks
  • Ability to work independently while managing multiple priorities effectively
  • Bonus if you have previous experience in legal, professional services, or similar regulated industries
  • It helps if you’re familiar with PDF creation, document hyperlinking, or legal database systems
  • Bonus if you have experience with accounting software like Xero or QuickBooks
