Executive Operations Assistant

Schedule: 

  • Part-time (20 hours per week), flexible schedule during client business hours | Mountain Standard Time (Utah)

Job Overview: You’ll become the operational backbone of a thriving investment advisory firm, working directly with a visionary leader who values your professional expertise and will give you the authority to drive operational excellence. This isn’t just administrative support—you’ll own critical business processes, directly impact client satisfaction, and have significant autonomy to implement improvements. You’ll help transform a 30-day email response time into same-day service while managing a diverse, appreciative client base.

Responsibilities:

  • Manage and triage executive inbox daily, providing continuously prioritized task lists
  • Organize and maintain company SOPs and documentation in Notion workspace
  • Handle client communications, follow-ups, and onboarding processes with full authority
  • Send client notes and check-ins, either as the executive or under your own name
  • Process AI meeting notes and transcripts to create actionable synthesis and insights
  • Flag interesting client questions and identify content opportunities across the client base
  • Maintain and update client presentations and materials using modern tools
  • Handle confidential client information with appropriate NDAs and security protocols
  • Shepherd clients through operational processes like withdrawal requests and account changes
  • Utilize AI tools for content creation and process optimization

Requirements: 

  • You bring 2-5 years of admin assistant experience with a track record of managing complex communications and processes.
  • You have strong cognitive skills and learn quickly, with the professional authority to provide feedback and push back when necessary.
  • Experience handling confidential information and client communications is essential. Bonus if you’re familiar with AI tools and technology platforms.
  • It helps if you have cultural competency, particularly with LGBT/queer clientele.
  • You excel at written communication and thrive working independently while taking full ownership of processes.
