Executive Assistant & Sales Support Coordinator
Schedule:
- 9:00 am to 1:00 pm, 4 hours a day/20 hours per week
- Client time zone: Singapore
Key Responsibilities:
- Orchestrate executive schedules, manage calendars, and seamlessly coordinate meetings, appointments, and travel arrangements.
- Craft, manage, and track professional correspondence, including client-facing and internal follow-up emails.
- Capture accurate and comprehensive meeting minutes, summarize key action items, and distribute follow-ups in a timely manner.
- Develop, maintain, and optimize databases, CRM systems, and filing structures to support executive and sales operations.
- Conduct targeted research on clients, markets, competitors, and opportunities; compile clear and insightful reports for leadership review.
- Support sales initiatives by preparing presentations, tracking leads, updating sales documentation, and assisting with pipeline organization.
- Handle diverse administrative tasks with professionalism, enthusiasm, discretion, and efficiency.
- Serve as a reliable liaison between executives, sales teams, clients, and internal stakeholders.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, Sales Coordinator, or similar role.
- Background in sales, business development, or client-facing environments strongly preferred.
- Excellent written and verbal communication skills, with the ability to craft professional correspondence and follow-ups.
- Strong organizational and time-management skills with the ability to prioritize competing demands.
- Experience managing databases, CRM systems, spreadsheets, and digital filing systems.
- Strong research and reporting skills with attention to detail and accuracy.
- Proficiency in Microsoft Office, Google Workspace, and related productivity tools.
- Ability to handle confidential information with discretion and professionalism.
- Self-motivated, adaptable, and comfortable working in a fast-paced, results-driven environment
