Administrative Assistant

Overview

This role is for an Administrative Assistant supporting a fast-paced event planning company. The ideal candidate is proactive, highly organized, and enjoys helping clients feel taken care of. Responsibilities include inbox management, scheduling, client onboarding, event timeline creation, and supporting content creation alongside the Social Media Manager. This position is suited for quick learners who are detail-oriented, adaptable, and thrive in a collaborative, creative environment.

Job Highlights
Number of Paid Hours Per Week: 20 hours per week
Schedule: TBD (based on company standard hours)
Work Arrangement: Work from home
Contract: Independent Contractor

Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidate must have their own computer and reliable internet connection. They will handle their own benefits and taxes. Professional fees are on an hourly basis and may depend on performance during the application process.

Responsibilities

  • Manage and organize incoming emails

  • Assist with scheduling, calendaring, and client appointments

  • Create and maintain client folders and project organization

  • Help build event timelines and prep materials for planning meetings

  • Communicate with clients professionally and promptly

  • Collaborate with the Social Media Manager on content ideas and basic content prep

  • Support day-to-day operational tasks as needed

Requirements

  • Strong organizational and time management skills

  • Ability to thrive in a fast-paced environment

  • Excellent written and verbal communication

  • Tech-savvy and quick to learn new platforms

  • Familiarity with HoneyBook and Timeline Genius preferred but not required

  • Basic social media knowledge (Instagram, TikTok, posting formats, content awareness)

  • Detail-oriented and able to juggle multiple tasks at once

  • Professional, positive attitude and team mindset
