Executive Assistant
Schedule: 20 hours/week, Monday to Friday 7:30am to 11:30am EST

Responsibilities
- Daily Prioritization: Conduct a brief check-in call each morning at 7:30 AM Eastern to review the day’s priorities and action items.
- Calendar Management: Schedule, confirm, and adjust meetings across multiple calendars; coordinate across time zones; anticipate conflicts; send reminders as needed.
- Email Management: Review incoming messages, flag urgent items, and surface key follow-ups.
- Travel Planning: Research and book flights, trains, accommodations, and ground transportation; prepare detailed itineraries; manage last-minute changes.
- Bill Review: Track bills, prepare them for payment, and maintain a simple log of due dates.
- Reservations & Events: Coordinate reservations, tickets, and basic event logistics.
- Contact Coordination: Maintain professional contacts, schedule touchpoints, and support appropriate follow-ups.
- Meeting Support: Arrange and confirm meetings, draft brief agendas, and prepare summary notes when needed.
- General Support: Provide administrative assistance to ensure smooth day-to-day operations.
Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong spoken and written English.
- Excellent organizational and time-management skills.
- Ability to work independently, maintain confidentiality, and manage shifting priorities.
- Consistent availability for the daily 7:30 AM Eastern call.
