Xero Accounting Assistant

Schedule: 

  • 20 hours per week, flexible between Monday to Friday, 9 am-6 pm | Melbourne (AEST)

They focus on succession planning and family dynamics, working with high-net-worth family groups on complex strategic initiatives. The firm handles substantial client engagements with consistent monthly revenue streams.

Job Overview: You’ll take full ownership of the finance administration function for a growing boutique consultancy that works with Australia’s most prominent family enterprises. This is your chance to streamline financial operations while working directly with the co-founder in a trusted, autonomous role. You’ll manage the complete invoice-to-payment cycle for high-value client engagements, ensuring seamless financial workflows that support the firm’s continued growth.

Responsibilities:

  • Own the complete finance administration workflow from invoice creation to payment collection
  • Prepare and issue client invoices through Xero (10-12 monthly invoices averaging $10,000 AUD each)
  • Manage professional email communications with high-net-worth clients regarding billing matters
  • Follow up on outstanding invoices with diplomatic, professional correspondence
  • Coordinate payment processing and prepare documentation for management approval
  • Monitor and manage finance-related email communications on a weekly basis
  • Maintain accurate financial records and documentation within the Xero system
  • Ensure timely month-end financial administration processes

Requirements:

  • Proven hands-on experience with Xero accounting software (essential)
  • Strong written communication skills for professional client correspondence
  • Background in bookkeeping, accounting administration, or finance operations
  • Comfortable managing email-based client follow-ups with high-value accounts
  • Ability to work independently and take ownership of financial workflows
  • Attention to detail for invoice preparation and financial documentation
  • Bonus if you have experience with family office or professional services environments
  • It helps if you’re familiar with Australian business practices and communication styles
