Position Summary
We are seeking a highly capable Administrative & Clinical Operations Assistant who can provide broad, high-level support across the client’s operations. This includes RHCP/SHCP document creation, regulatory-aligned template updates, customer communication, scheduling, organization, and general administrative tasks.
This role is best suited for someone who can think ahead, stay organized, and fully understand the direction and priorities of the company. The ideal candidate must have excellent English reading comprehension, strong analytical ability, exceptional attention to detail, and the capacity to follow instructions accurately the first time. They must also take initiative, anticipate needs, and remain fully focused on supporting the client’s growth and operations.
Core Responsibilities
1. RHCP/SHCP Document Production
- Create, modify, and maintain RHCP/SHCP care plans using master templates.
- Adjust care plans based on program type (ADP, ARF, CCF, Adult Restricted Facility, RCFE).
- Interpret and apply corrections from CRC nurses across all relevant templates.
- Maintain and update 5–6+ condition-specific master templates as required.
- Ensure wording aligns with Title 22 regulatory requirements.
2. Customer Email Communication
- Read customer emails thoroughly and identify all required information.
- Respond professionally, request clarification when needed, and communicate updates.
- Summarize instructions accurately and apply them consistently.
3. General Administrative Support
- Assist with scheduling, formatting documents, data entry, file organization, and operational tasks.
- Prepare documents, reports, and templates using Microsoft Word.
- Use TheFormTool (or learn quickly) to automate document generation.
- Perform research, organize information, and manage recurring administrative workflows.
4. Workflow, Organization & Daily Productivity
- Provide a daily task log showing deliverables completed during the 4-hour shift.
- Follow instructions accurately without repeated questions or clarification.
- Proactively identify improvements, update templates, and resolve issues independently.
- Track all pending, in-progress, and completed tasks.
