Administrative & Bookkeeping Assistant

About the Role
We are seeking a highly organized, proactive, and tech-savvy Bookkeeper/Executive Assistant to provide long-term support for a finance-focused client. This is no longer a temporary position; we need a dedicated professional for the foreseeable future.
The ideal candidate will thrive in a fast-paced environment where communication, responsiveness, and follow-through are critical. While the role involves light bookkeeping, the core priority is operational management—keeping daily tasks moving, managing communications, and ensuring nothing slips through the cracks.
Key Responsibilities

  • Communication & Inbox Management:
  • Manage and organize the client’s Gmail inbox.
  • Respond to messages quickly and professionally.
  • Act as a point of contact to ensure daily tasks are handled promptly.
  • Project & Task Management:
  • Maintain and organize financial workflows on Monday.com and ClickUp.
  • Independently move tasks forward within a 24-hour timeframe.
  • Step in to complete tasks if they are not finished by other team members.
  • Bookkeeping Support:
  • Perform light bookkeeping tasks in QuickBooks Online (QBO).
  • Provide coverage and support when the primary bookkeeper is out.
  • Run financial reports and assist with internal bookkeeping for Julia Pat LLC.
  • Administrative Support:
  • Assist with calendar management and scheduling.
  • Organize company tasks and support internal operations.
  • Help manage and respond to Julia’s specific email inbox.

Requirements & Qualifications

  • Software Proficiency:
  • Mandatory: Strong proficiency in Monday.com and ClickUp is an absolute must. You must be able to maintain boards tied to financial workflows.
  • Required: Experience with QuickBooks Online and Gmail suite.
  • Skills:
  • Understanding of basic bookkeeping processes.
  • Ability to run reports and interpret basic financial data.
  • Exceptional organizational skills and attention to detail.
  • Proactive attitude: you have the confidence to jump in and complete tasks yourself rather than waiting.
  • Work Style:
  • Tech-savvy and comfortable in a fast-paced digital environment.
  • Highly responsive with strong follow-through.

Schedule & Availability

  • "Always On" Window: You must be available for a designated two-hour window daily for real-time support and immediate responsiveness.
  • Flexible Support: Additional flexible hours will be required to support internal bookkeeping, task organization, and inbox management.
