Operations Administrator

Operations Administrator (Part-Time, Remote)

Schedule: Monday to Friday, 4 hours per day (flexible between 8:00 AM – 5:00 PM Mountain Time)

Overview

We are seeking a highly organized and proactive Operations Administrator to support day-to-day operations, manage tasks and projects, and help improve productivity across the team. This role is ideal for someone who enjoys structure, delegation, follow-through, and making sure nothing slips through the cracks. The ideal candidate will work closely with the leadership team to keep projects on track, maintain operational clarity, and eventually take on light bookkeeping responsibilities after the first 90 days.

Key Responsibilities

Task & Project Management

  • Manage and organize daily tasks, priorities, and workflows for leadership and the broader team.

  • Keep all projects up to date in Basecamp, including task assignments, due dates, follow-ups, and status updates.

  • Assist in delegating work to team members and ensuring progress is made on all initiatives.

  • Serve as an accountability partner to help maintain productivity and momentum.

Systems & Documentation Management

  • Help maintain and improve a large SharePoint document library containing 25+ years of project history.

  • Implement structure, tagging, organization, and accessibility improvements using SharePoint and AI tools.

  • Ensure documents and assets are easy to locate and retrieve for current client work.

Marketing & Platform Support

  • Support light tasks in GoHighLevel (GHL), such as updating workflows, organizing contacts, and assisting with basic marketing actions.

  • Coordinate with the team to ensure marketing tasks are completed on schedule.

Administrative & Operational Support

  • Maintain calendars, reminders, and deadlines for leadership.

  • Prepare summaries, progress updates, and task check-ins.

  • Provide general administrative assistance as needed.

Future Bookkeeping Support (after 90 days)

  • Assist with light bookkeeping tasks such as organizing expenses, basic reconciliations, data entry, or coordinating with an accountant.

  • Maintain accurate financial records in accordance with company guidelines.

Qualifications

  • Strong experience in administrative support, project coordination, or operations.

  • Excellent organizational and time-management skills.

  • Experience with Basecamp, GoHighLevel, or similar platforms is an advantage.

  • Familiarity with SharePoint or large document systems is preferred.

  • Comfortable working independently and proactively improving processes.

  • Tech-savvy and open to using AI tools to enhance workflows.

  • Strong communication skills and a detail-oriented mindset.

  • Willingness to learn bookkeeping basics.
