Administrative Assistant - Contract Services Coordination

They handle compliance work for large public companies and are expanding their operations. As their first virtual assistant, you’ll help build processes from the ground up while supporting critical day-to-day operations.
Job Description:
You’ll be the operational backbone that keeps projects moving smoothly in a fast-paced property services environment. This role offers the unique opportunity to work directly with the business owner to establish systems and processes while coordinating between property managers, letting agencies, and skilled contractors. You’ll be essential in ensuring compliance work gets completed efficiently and on time, making you a key player in the company’s continued growth.
Responsibilities:
- Input and manage project data using specialized work manager software systems
- Coordinate job assignments by sending detailed briefs to independent contractors
- Make outbound calls to contractors to verify availability and schedule upcoming work
- Manage scheduling between contractor availability and client project requirements
- Follow up on pending quotes and chase contractors for timely responses
- Process and upload invoices accurately within Xero accounting software
- Provide comprehensive diary management and administrative support
- Assist with day-to-day orchestration of compliance projects across multiple clients
- Support the development of new operational processes as the business scales
Requirements:
- Strong organizational skills with experience in administrative coordination
- Comfortable making outbound phone calls to contractors and vendors
- Experience with scheduling, project coordination, or facilities management
- Proficiency with software systems and quick learning ability for new platforms
- Bonus if you have experience with Xero or other accounting software
- It helps if you have background in property services, construction, or contractor management
- Excellent communication skills for liaising between multiple stakeholders
- Ability to work independently while managing competing priorities
