Job Description:
As an Service Scheduling & Administrative Assistant, you will play a central role in supporting the day-to-day operations of the plumbing services team. You will handle job bookings, respond to customer inquiries, assist with invoicing, and ensure smooth communication across the team. You will also provide coverage during existing staff holidays and support various administrative functions as needed. This role is perfect for someone organized, proactive, and capable of managing multiple tasks in a fast-paced environment.
Responsibilities:
- Book and schedule plumbing jobs using company systems (including Tradify if applicable)
- Answer customer phone calls and manage inquiries professionally
- Process invoices and follow up on outstanding payments
- Maintain accurate customer and job records
- Support daily administrative operations to ensure workflow efficiency
- Provide coverage for the existing assistant's duties during his holidays or absences
- Coordinate schedule updates and communicate changes to customers and engineers
- Assist with other administrative tasks as required by the business
Requirements:
- Excellent verbal communication skills with professional phone etiquette
- Strong written communication skills for clear and concise emails
- Proficiency with computers and ability to learn new software quickly
- Experience with or willingness to learn job management tools (e.g., Tradify)
- Availability to work the required training and regular schedule
- Strong organizational skills and high attention to detail
- Ability to multitask and manage time effectively
- Self-motivated, reliable, and able to work independently
- Problem-solving abilities for handling scheduling conflicts and customer concerns
