Bookkeeping Operations Manager

Using tools like QuickBooks Online, Xero, Dext, Sage 50, and Keeper, we deliver clean books, reliable reporting, and peace of mind to our clients.
As we scale, we’re looking for a full-time Bookkeeping Operations Manager to take ownership of daily operations, lead cleanups and client onboarding, manage internal systems, and help build a team of high-performing junior bookkeepers.

What You’ll Be Doing
This is a high-responsibility role where you’ll lead both client-facing and internal workflows. You’ll manage your own client work, help clean up and transition new clients, and act as the operational backbone of the firm.

Client Bookkeeping & File Oversight

  • Manage full-cycle bookkeeping across multiple clients (hospitality + retail)
  • Perform advanced reconciliations (bank, credit card, loan, liabilities, accruals, prepaids)
  • Review and finalize bookkeeping completed by junior team members
  • Lead client catch-up and cleanup projects, ensuring accuracy and system readiness
  • To do weekly payroll which is time sensitive
  • Investigate discrepancies and solve problems independently — be a “financial detective”
  • Responsible for reviewing their own work and junior bookkeeper's work through reporting in QBO including using the balance sheet and profit and loss

Client Onboarding & Documentation

  • Onboard new clients: gather documents, clean up books, set up workflows in Keeper
  • Build SOPs and checklists for each client so junior bookkeepers can take over confidently
  • Create efficient, repeatable documentation for recurring client tasks

Internal Admin & Operations

  • Manage internal bookkeeping for the firm (record expenses, reconcile accounts, track AR)
  • Prepare and send monthly client invoices
  • Oversee the shared inbox and assist with client communication
  • Use KeeperClickUp, and Slack to manage workflow and collaborate with the team
  • Contribute to improving SOPs, templates, and operational systems as we grow

Leadership & Team Growth

  • Participate in weekly meetings with the owner and team
  • Help train and mentor junior bookkeepers
  • Support occasional growth tasks (e.g. following up with prospective clients)

Who You Are

You love being the one who figures things out. You’re organized, reliable, and confident in communicating with both clients and team members.

Must-Have Qualifications

  • 5+ years of full-cycle bookkeeping experience (Canadian experience is a plus)
  • Formal Education in Accounting
  • Deep familiarity with QuickBooks OnlineXero, and Dext
  • Experience with bookkeeping cleanups, multi-month catch-up files, and reconciliations
  • Excellent English (spoken and written)
  • Strong attention to detail and documentation habits
  • Comfortable working independently in a fully remote environment
  • Solid understanding of accrual accounting, liabilities, and adjusting entries

Nice-to-Haves

  • Experience with Sage 50, QuickBooks Desktop, Dext Commerce
  • Hospitality/restaurant bookkeeping experience (POS systems like Clover, TouchBistro)
  • Familiarity with Stripe and Shopify
  • Previous leadership or mentoring experience
  • light social media management, client outreach

Working Hours
