Job Description

You’ll play a crucial role in streamlining operations for a dynamic maintenance business, where your administrative expertise directly supports field teams and ensures seamless compliance with government requirements. Responsibilities:

  • Transform basic field notes into comprehensive service reports using creative writing and AI tools like ChatGPT
  • Manage Google Docs systems for service documentation and compliance reporting
  • Make proactive phone calls to schools to confirm appointments and coordinate site access
  • Create and publish LinkedIn content featuring project photos with professional captions
  • Navigate basic maintenance scheduling software to coordinate job assignments
  • Handle government compliance paperwork for educational facility contracts
  • Maintain organized documentation systems for service reports and client communications
  • Support business operations with general administrative tasks as needed

 

Requirements:

  • Minimum 3 years of administrative experience with strong attention to detail
  • Excellent written and verbal English communication skills
  • Comfortable making phone calls and coordinating with clients
  • Experience with Google Docs and basic software applications
  • Creative writing ability to expand brief notes into detailed professional reports
  • Bonus if you have experience with AI tools like ChatGPT
  • It helps if you have basic social media knowledge for LinkedIn management
