Purchasing Support Specialist

Work schedule: Monday to Friday, 9:00 AM – 6:00 PM Sydney time (1-hour unpaid lunch, 2x15-min paid breaks)

About the Role
We are seeking a detail-oriented and proactive Purchasing Support Specialist to join our team. This role plays a key part in ensuring smooth purchasing operations by managing critical documents, maintaining accurate data, and supporting Purchasing Officers in day-to-day tasks. The ideal candidate thrives in a structured environment, values accuracy, and can manage multiple responsibilities efficiently.
 
Key Responsibilities
  • Monitor and manage the Purchasing email inbox, forwarding general queries to the appropriate Purchasing Officer.
  • File shipping document emails by supplier and register invoices into Excel with complete and accurate data.
  • Create Dispatch Advices (DAs) in Colladium, verifying accuracy against corresponding invoices.
  • Report any issues with shipping documents promptly to Purchasing Officers.
  • Analyze shipment data and provide consolidation or cross-docking reports to the logistics department.
  • Load transfer orders into the system and maintain an up-to-date tracking file.
  • Update and maintain orders in Colladium for accuracy and visibility.
  • Generate ad hoc reports as requested by Purchasing Officers.
  • Perform routine data integrity checks and cleanup activities.
  • Create manual receipts and action supplier responses on store purchase orders in OMS (changes and rejections).
  • Escalate supplier rejections of store purchase orders to Purchasing Officers for resolution.

Requirements

  • Strong attention to detail with proven accuracy in data entry.
  • Excellent verbal and written communication skills in English.
  • Fast and accurate typing proficiency.
  • Prior experience with purchasing systems (preferred but not required).
  • Highly organized with the ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
  • Proactive, adaptable, and motivated to take initiative.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
