Job Description

This is an exceptional opportunity to join a fast-growing events business as their first Executive Assistant hire, working directly with the founder to support both day-to-day operations and event execution. You’ll be integral to managing multiple concurrent events, including an annual festival featuring wellness programming and exclusive nightlife experiences. This role offers unique exposure to both the business and creative sides of event production, while providing crucial administrative support that enables the company’s continued growth and success.

 

Responsibilities

  • Manage and coordinate event-related communications with vendors, partners, and stakeholders
  • Process and maintain contracts, agreements, and essential business documentation
  • Support website updates and content management using Squarespace
  • Assist in organizing and executing multiple concurrent events
  • Handle calendar management and scheduling for the founder
  • Maintain organized digital filing systems for documents and contracts
  • Coordinate with various event stakeholders and manage follow-up communications
  • Update and maintain project management systems to track event progress
  • Support the planning and execution of an annual festival featuring multiple events

 

Requirements

  • Excellent organizational and administrative capabilities
  • Strong written and verbal communication skills
  • Experience with document management and contract processing
  • Proficiency with project management tools and digital systems
  • Ability to work independently and take initiative
  • Comfortable with learning new software tools and systems
  • Experience with Squarespace or similar content management systems is a plus
  • Understanding of events industry or hospitality sector is beneficial
  • Must be available during US Eastern business hours
  • Proven ability to manage multiple priorities and deadlines
  • Detail-oriented with strong follow-through capabilities
  • Professional demeanor and excellent interpersonal skills
