You will manage the full daily workflow of prescription orders—from preparing patient order forms and coordinating pharmacy dispatches to verifying Xero invoices and maintaining detailed updates in Monday.com. Your work directly ensures that patients receive their medications on time and without errors. This role is ideal for someone who thrives in structured processes, can handle high-volume tasks, and is committed to accuracy and compliance in a healthcare environment.

 

Responsibilities

  • Prepare accurate patient order forms based on approved prescriptions and eScripts
  • Review and cross-check all prescription details before sending to partner pharmacies
  • Attach and dispatch eScripts, including handling multi-pharmacy orders
  • Send daily orders to pharmacies and track confirmations, acknowledgements, and shipment updates
  • Maintain real-time updates in Monday.com across all order stages (Pending, Sent to Pharmacy, Confirmed, Shipped)
  • Monitor Xero invoices and verify payments before orders are released for dispatch
  • Coordinate with the finance/admin team for any payment discrepancies
  • Complete internal protocol forms for clinical documentation workflows
  • Maintain audit-ready documentation for all patient orders and communications
  • Uphold strict confidentiality and comply with clinical and pharmacy standards
  • Double-check all orders before dispatch to ensure accuracy and compliance
  • Follow all workflow steps in exact sequence without exception

 

Requirements

  • Strong experience using Xero for invoicing and payment verification
  • Strong experience using Monday.com for workflow management
  • Exceptional attention to detail with a high level of accuracy
  • Ability to manage high-volume tasks without errors
  • Experience in medical administration, pharmacy dispatch, or clinical operations
  • Strong written and verbal communication skills
  • Ability to cross-check information, troubleshoot issues, and follow strict processes
  • Comfortable working in a fast-paced healthcare environment
  • Reliable internet connection and stable home office setup
