Bookkeeping & Operations Assistant (Short-Term Rental Management)

Overview:
We are looking for a highly organized, self-sufficient Bookkeeping & Operations Assistant to support day-to-day financial tracking and operational tasks for a short-term rental business. This role requires strong QuickBooks Online experience, excellent time management, and the ability to work independently with minimal supervision. Familiarity with Airbnb/short-term rental operations and revenue management tools (such as PriceLabs) is essential.

Key Responsibilities:

  • Record daily financial transactions such as purchases, Amazon orders, vendor payments, and other expenses in QuickBooks Online.
  • Accurately categorize receipts and expenses under the correct rental property.
  • Prepare and generate bi-weekly payment reports summarizing income and expenses for clients.
  • Collaborate with the company’s accountant on monthly financial reporting and financial documentation.
  • Perform standard bookkeeping tasks including journal entries, reconciliations, reviewing bills, and ensuring accurate financial records.
  • Support Airbnb/short-term rental operations, including basic revenue management and pricing adjustments using PriceLabs.
  • Assist with administrative tasks such as sending emails, updating website content, and other related duties.
  • Provide occasional support for basic SEO or marketing initiatives as needed.

Qualifications:

  • Proven experience with QuickBooks Online, including journal entries, reconciliations, bill processing, and accurate categorization of transactions.
  • Understanding of Airbnb/short-term rental operations and basic revenue management/pricing strategies (PriceLabs experience preferred).
  • Strong attention to detail with the ability to maintain clean, organized financial records.
  • Fast learner with strong problem-solving skills and the ability to work independently.
  • Excellent time management and organizational skills.
  • Comfortable handling both bookkeeping and general administrative work.
  • Strong communication skills and ability to collaborate with accountants and internal team members.
