Job Description:

Step into a pivotal role as Executive Assistant where you’ll serve as the organizational backbone for two directors in a thriving engineering consultancy. Responsibilities

  • Manage and coordinate complex email workflows for senior directors, ensuring critical communications never slip through the cracks
  • Handle sophisticated quoting and invoicing processes using established systems, with comprehensive training to develop autonomous capabilities
  • Coordinate executive calendars and strategic scheduling for leadership team and key stakeholders
  • Arrange international business travel including flights between Ireland, UK, and Europe (particularly France) and accommodation bookings
  • Manage daily transportation logistics through business car hire services for client meetings and site visits
  • Provide professional reception support through virtual landline system, serving as the voice of the company
  • Execute document control processes including analysis and information extraction from technical design drawings
  • Support high-level project coordination and proactively identify operational gaps before they become issues
  • Input critical data into project management systems and maintain organized, efficient workflows

 

Requirements:

  • 2-3+ years of executive assistant experience supporting C-level executives in fast-paced environments
  • Advanced proficiency with Gmail, Google Workspace, Slack, Excel, and invoicing software systems
  • Experience with project management platforms (Teamhood, Trello, or similar tools strongly preferred)
  • Exceptional organizational skills with proven ability to manage multiple high-priority tasks simultaneously
  • Outstanding communication skills and professional phone presence for client interactions
  • Quick learner with ability to master specialized systems and industry-specific processes
  • Comfortable working standard UK business hours with flexibility for urgent matters
  • Previous experience in agency, consulting, or project-driven environments highly valued
  • Discretion and professionalism when handling sensitive commercial and financial information
