Virtual Assistant – Real Estate Media Support

Schedule:

  • Full-time (40 hours per week)

Client Overview

Founded in 2016, this fast-growing real-estate media company serves more than 400 active clients across Indianapolis, Muncie and Anderson, with plans to expand to Bloomington in mid-2025. The team produces listing photos, videos, 3-D tours, floor plans and drone imagery that help agents sell and lease property faster. As the business scales, it needs a remote administrative professional who can keep operations running smoothly while the owner concentrates on shooting and editing high-impact visuals.


Key Responsibilities

  • Client communications – Handle all incoming phone calls and emails from real-estate agents and property owners with a professional, service-oriented approach.

  • Scheduling & route optimisation – Book and coordinate photography appointments, ensuring the daily shoot schedule is efficient and conflicts are resolved quickly.

  • Media delivery – Organise and distribute completed photo/video packages each morning, maintaining the 24-hour turnaround promise.

  • CRM & data management – Enter and maintain accurate client records, job details and status updates in the company’s CRM.

  • File management – Coordinate with the editing team and keep media files organised in Dropbox/Drive or other platforms.

  • Social media & marketing support – Draft and publish engaging content that highlights recent shoots and attracts new clients.

  • Administrative support – Prepare basic invoices, assist with bookkeeping tasks and produce routine documents or reports.

  • Quality control & client satisfaction – Track deliverables, flag issues promptly and support continuous-improvement efforts.


Required Qualifications

  • High-school diploma (or equivalent) and 1+ years’ administrative or customer-service experience.

  • Excellent spoken and written English; confident, courteous phone manner.

  • Strong computer literacy; proficient with Microsoft Office and Google Workspace; able to learn new tools quickly.

  • Exceptional attention to detail, accuracy and follow-through.

  • Proven ability to multitask, prioritise and self-manage in a remote setting.

  • Reliable high-speed internet and a quiet, dedicated home office.

Preferred Qualifications

  • Experience with CRM systems and cloud file-sharing platforms (e.g., Dropbox, Google Drive).

  • Familiarity with real-estate, photography or media workflows.

  • Basic knowledge of social-media management and digital marketing.

  • Exposure to invoicing or bookkeeping processes.
