Overview
Our client is looking for an organized, commercially minded Logistics Coordinator and Customer Service Specialist (UK & EU) to serve as the administrative anchor across their repair and logistics operations. As an established UK-based provider specializing in industrial electronics and projector repair services, they also operate expanding courier, pallet, and freight transport platforms across the UK and Ireland. In this role, you will act as the operational backbone and primary voice of the business, managing customer communication, workshop tracking, and end-to-end collection and delivery coordination.
Operating under an asset-light logistics model, you will partner with independent owner-drivers and vetted third-party carriers rather than managing an internal fleet. Responsibilities will be introduced progressively in three phases, starting with customer support and repair workflow management before scaling up to shipping coordination, freight procurement, and driver onboarding. This is a fully inbound administrative and coordination position that offers long-term career growth opportunities as new platforms launch.
Schedule:
- Monday–Friday, 9:00 am–5:30 pm UK time (including a 30-minute unpaid break)
Responsibilities
Inbound Customer Communications
- Answer incoming UK and Irish customer calls professionally via the Vonage Business Communications softphone system.
- Direct customers to online booking forms (repair orders must not be taken strictly over the phone).
- Manage central email correspondence using clear, courteous British English.
- Follow up on customer enquiries, missed calls, and web leads promptly.
- De-escalate and resolve customer concerns with composure and sound judgment.
Projector Repair Administration
- Review incoming repair submissions, verify fault reports, and acknowledge new bookings.
- Coordinate incoming equipment logistics via DHL, checking parcel weights, dimensions, and collection windows.
- Track units through the workshop lifecycle: diagnosis, approval, parts sourcing, testing, and dispatch.
- Issue approved repair quotations, monitor approvals, send invoices, and log payments.
- Ensure no repaired equipment is released for return dispatch before full payment is secured, unless expressly authorized by management.
Pallet Delivery & Freight Procurement (Asset-Light Logistics)
- Process inbound pallet delivery and freight enquiries submitted via company logistics platforms.
- Source competitive quotes from vetted third-party UK transport companies and hauliers.
- Evaluate supplier rates, calculate and apply approved commercial markups, and present formal quotes to clients.
- Coordinate freight booking, dispatch, carrier tracking, and Proof of Delivery (POD) collection.
Courier & Same-Day Transport Coordination
- Manage corporate courier account enquiries, issue account applications, and maintain business records.
- Screen, register, and onboard independent owner-drivers, checking vehicle sizes, insurance status, and geographical availability.
- Coordinate same-day bookings by assigning vetted operators, communicating collection details, and resolving transit delays.
General Administration & Operational Reporting
- Complete an end-of-day operational report summarizing new enquiries, calls/emails resolved, quotes issued, payments received, and active transport jobs.
- Maintain organized Google Sheets / Excel operational records and internal tracking tools.
- Flag operational bottlenecks and proactively suggest workflow or system improvements.
Must-Have Requirements
- Professional English (written and spoken) tailored to UK and Irish corporate and consumer clients.
- Sound numerical ability to review freight supplier costs, apply approved profit margins accurately, and make sensible day-to-day decisions without requiring micro-management.
- Practical experience in dispatch, logistics coordination, 3PL transport procurement, or supplier management.
- Intermediate-to-advanced proficiency with MS Excel or Google Sheets.
- Confident user of web apps, Gmail, PDF tools, CRM portals, and cloud telephone systems.
- Precise handling of shipment dimensions, consignment values, tracking numbers, and financial data.
- Able to commit exclusively to a fixed UK business schedule (9:00 am–5:30 pm UK time, Monday–Friday) with strict adherence to British Summer Time (BST) transitions.
Nice-to-Have Requirements
- Prior experience with DHL Express shipping portals and parcel/pallet logistics networks across the UK/Ireland.
- Familiarity with the Vonage Business Communications phone system or equivalent cloud VoIP solutions.
- Experience handling electronics repair ticketing, warranty administration, or RMA workflows.
- Demonstrated history of identifying process inefficiencies and helping streamline daily workflows.
Independent Contractor Perks
- Permanent work from home
- Immediate hiring
- Health Insurance Coverage for eligible locations
