Our client is a fast-growing live e-commerce business specializing in women's contemporary and luxury fashion, selling through Whatnot. Our client is looking for a highly skilled Sales Data Specialist (Advanced Excel) to manage real-time sales tracking, organize inventory data, and transform raw spreadsheets into clear, actionable reports.

This role requires advanced Excel skills, exceptional attention to detail, and the ability to work independently in a fast-paced environment. The ideal candidate can process large datasets, build organized reports, and provide accurate sales and inventory information without extensive supervision.

Client Overview

The client operates a high-volume live-selling business on Whatnot, with regular livestreams featuring contemporary and luxury fashion. As the business continues to scale, accurate sales tracking, inventory analysis, and timely reporting are essential to its operations and financial processes.

Schedule

• Monday - Friday (40 work hours per week). Note: The client typically hosts livestreams from 5:00 PM to approximately 10:00 PM CT. The exact working hours can be discussed upon agent selection.

Responsibilities

• Track all items sold during live shows in real time, recording product details, brands, selling prices, and other required information.
• Maintain accurate and organized spreadsheets for sales, inventory, and product manifests.
• Review and process CSV exports from Whatnot and other relevant sources.
• Analyze large datasets and consolidate information into clear, concise reports that allow the client to understand key figures quickly.
• Use Excel formulas, lookup functions, sorting, filtering, and other advanced spreadsheet features to organize and analyze data efficiently.
• Summarize inventory manifests, including item counts, product categories, average acquisition costs, and other relevant metrics.
• Reconcile sales records and identify missing information, inconsistencies, duplicate entries, or discrepancies.
• Prepare weekly sales reports and coordinate with the client's accountant to ensure accurate data is provided for invoicing and financial reporting.
• Respond to data-related questions and make corrections when needed.
• Maintain consistent documentation and follow established processes to ensure data integrity.
• Work independently during livestreams and meet strict accuracy and reporting deadlines.

Requirements

• Proven experience in data entry, data analysis, inventory reporting, or a similar role.
• Advanced Microsoft Excel skills, including formulas, lookup functions, PivotTables, data cleaning, sorting, filtering, and report preparation.
• Experience working with CSV files, large spreadsheets, and structured datasets.
• Strong numerical accuracy and exceptional attention to detail.
• Ability to process information in real time while maintaining speed and accuracy.
• Strong organizational, analytical, and problem-solving skills.
• Ability to turn raw data into concise, easy-to-understand reports.
• Availability to work full-time during evening hours aligned with US Central Time.

Nice to Have

• Experience with e-commerce platforms such as Whatnot, eBay, Shopify, or Amazon.
• Experience with inventory management, SKU tracking, or product manifests.
• Familiarity with sales reconciliation, invoicing support, or preparing data for accountants.
• Experience using advanced Excel functions, Power Query, or macros to automate repetitive reporting tasks.
• Experience supporting live-selling operations or real-time sales reporting.

This position is primarily focused on advanced Excel, data management, and real-time sales tracking. It is not an accounting role, although the specialist will support the accountant by preparing and validating sales data. Candidates should be able to demonstrate their spreadsheet skills through practical examples or an Excel assessment during the recruitment process.
