Business Operations Manager (GoHighLevel)

Job Overview

Our client is looking for a self-driven, detail-oriented Business Operations Manager (GoHighLevel) to take ownership of the day-to-day running of the company. You will oversee operational processes, keep accounts receivable under control, support the sales pipeline, and ensure systems work smoothly and efficiently. This is not a role for someone who waits for instructions; our client needs someone who can function independently, spot problems early, build better processes, and follow through from start to finish. You will work closely with the CEO and the Head of Operations & Growth, and coordinate with team members across the business.

Schedule: Monday - Friday, 9:00 AM - 6:00 PM Australia Eastern Time, with 1 hour unpaid break (40 work hours per week)

Responsibilities

1. Operations Management

  • Oversee day-to-day business operations and ensure client commitments and internal deadlines are met.
  • Document, maintain, and improve standard operating procedures (SOPs) and workflows.
  • Coordinate client onboarding from sign-up through to completion, ensuring a smooth and consistent client experience.
  • Maintain task trackers, follow up with team members on outstanding deliverables, and flag delays or blockers early.
  • Monitor team workload and productivity, and recommend improvements.
  • Coordinate cross-functional projects and internal meetings, capturing action items and following them through.
  • Prepare concise daily or weekly updates for leadership on priorities, progress, and pending decisions.

2. Accounts Receivable

  • Manage the invoicing process, making sure invoices are accurate and issued on time.
  • Track outstanding payments, monitor ageing reports, and follow up with clients professionally and promptly.
  • Reconcile payments and keep accurate, up-to-date receivables records.
  • Resolve billing queries and escalate disputed or overdue accounts to leadership when needed.
  • Report regularly on cash collection, overdue balances, and payment trends.

2. Sales Support and Pipeline Management

  • Manage and maintain the sales pipeline and lead records in the CRM.
  • Ensure new leads are followed up quickly and no opportunity falls through the cracks.
  • Coordinate demos, discovery calls, proposals, and follow-up communications with prospects.
  • Track conversion rates, pipeline health, and sales activity, and report insights to leadership.
  • Work with the Head of Operations & Growth to refine the sales process and improve conversion.

3. Systems, CRM, and Automation

  • Manage and maintain the CRM and systems that connect sales, onboarding, and client communications.
  • Build, test, and improve workflows and automations (such as lead follow-up, onboarding sequences, reminders, and payment follow-ups).
  • Keep CRM data clean, accurate, and well-organized.
  • Identify manual or repetitive tasks and replace them with efficient, automated processes.

4. Reporting and Analysis

  • Build and maintain spreadsheets, dashboards, and reports covering operations, receivables, and sales.
  • Use Excel to analyse data, spot trends, and give leadership clear, decision-ready information.
  • Keep accurate records and make sure important information is organized and accessible.

5. Confidentiality and Judgment

  • Handle confidential client, financial, and business information with discretion.
  • Make sound routine decisions independently and know when to escalate or seek approval.

Requirements:

Essential:

  • At least 3–5 years of experience in operations management, business operations, or a comparable role.
  • Advanced Excel skills, including formulas, pivot tables, lookups, data cleaning, and reporting.
  • Experience managing accounts receivable, invoicing, and payment follow-ups.

  • Experience with accounting software such as Xero or QuickBooks.
  • Experience in professional services, financial services, compliance, real estate, or another client-focused business.
  • Experience working with Australian clients or in Australian business hours.
  • Experience writing SOPs and building scalable processes for a growing business.
