Dental Receptionist and Administrative Assistant (Healthcare)

Job Overview

We are seeking an empathetic, detail-oriented Dental Receptionist and Administrative Assistant (Healthcare) to serve as the essential frontline support for a specialist dental practice caring for patients with disabilities and complex medical needs. In this remote role, you will handle high-volume patient enquiries, triage calls, and manage two distinct scheduling workflows for standard clinic visits and hospital bookings. Operating during fixed Australian Eastern Standard Time (AEST) hours, you will deliver compassionate, professional communication to patients, caregivers, and support agencies. This position requires an autonomous professional who manages competing administrative priorities with calm, precision, and purpose.

Client Overview

This is a specialist dental practice dedicated to treating patients with disabilities and complex medical needs, operating at the intersection of compassionate care and highly regulated clinical administration. The practice carries significant public visibility and manages two distinct appointment streams — standard clinic visits and general anaesthesia hospital bookings — each requiring precision, sensitivity, and sound professional judgement. It is a purpose-driven organisation committed to delivering an exceptional standard of care to some of the most vulnerable members of the community.

Schedule Monday - Thursday, 10:00 AM - 4:00 PM AEST (24 work hours per week)

Responsibilities

  • Manage a high volume of inbound calls from patients, caregivers, and disability agencies, providing accurate practice information and triaging enquiries
  • Coordinate and schedule both standard clinic appointments and general anaesthesia hospital bookings, each with distinct workflows and timelines
  • Communicate sensitively and professionally with caregivers and consenting parties on behalf of patients with disabilities and medical complexities
  • Prioritise and manage competing administrative tasks across multiple booking streams to ensure nothing falls through the cracks
  • Escalate complex or sensitive situations to the practice owner using sound judgement and established protocols
  • Support the onboarding of practice-specific processes by following documented workflows and prioritisation frameworks

Requirements

  • Minimum of 2 years of experience in a medical or healthcare administrative setting
  • Exceptional verbal and written communication skills with the ability to de-escalate emotionally sensitive interactions
  • Strong time management and organisational skills with the ability to independently prioritise tasks
  • Demonstrated ability to work autonomously with minimal supervision
  • High level of attention to detail and commitment to maintaining professional standards
  • Experience navigating patient or client interactions involving vulnerable populations is highly regarded

Qualifications

  • Prior exposure to disability services, NDIS, or allied health environments is a bonus
  • Experience coordinating hospital pre-admission or theatre booking processes is beneficial
  • Familiarity with practice management or healthcare scheduling software is an advantage

Why Join This Team

  • Fully remote position — contribute meaningfully to patient care from anywhere
  • Stable, predictable part-time schedule supporting strong work-life balance
  • Serve as a key frontline representative for a respected, high-profile specialist practice
  • Purpose-driven work supporting vulnerable patients and their families through a practice that genuinely cares
  • Structured onboarding with documented workflows and prioritisation frameworks to set you up for success from day one
  • Opportunity to build deep expertise in a niche, high-impact area of healthcare administration
