In this role, you will be responsible for managing structured accounts receivable follow-up activities, maintaining positive customer relationships, and ensuring timely payment collection on outstanding invoices. You will also serve as a primary point of contact for customers throughout the collections process, communicating primarily through phone and email while maintaining accurate records of all collection activities.

Schedule: Monday to Friday, 8:00 AM–5:00 PM EST | With a one-hour unpaid break (40 hours per week)

Responsibilities:

  • Review daily accounts receivable aging reports and prioritize customer outreach based on outstanding balances and payment due dates
  • Send professional email follow-ups to customer Accounts Payable contacts regarding overdue invoices and outstanding balances
  • Make outbound collection calls to confirm invoice receipt, resolve billing discrepancies, clarify payment terms, and secure payment commitments
  • Document all customer interactions, payment promises, disputes, and follow-up actions in the shared Google Docs Collections Report within 24 hours

  • Assign and update risk categorizations for customer accounts based on payment behavior, aging, and collection progress
  • Prepare escalation summaries for accounts reaching 60 or 90+ days past due, highlighting outstanding balances, collection history, and recommended next steps
  • Coordinate with Finance, Sales, Customer Service, and Operations to resolve invoice discrepancies, payment issues, and customer account concerns
  • Maintain professional customer relationships while ensuring adherence to established credit and collections procedures
  • Support accurate accounts receivable reporting and contribute to timely cash collection and effective credit management

Requirements:

  • Experience: Minimum of 2 years of experience in accounts receivable, collections, billing, or a related financial support role, with demonstrated experience conducting professional outbound collection calls and customer follow-ups

  • Familiarity with wholesale invoicing, purchase orders, payment terms, credit limits, and business-to-business Accounts Payable processes
  • Experience managing a dedicated collections mailbox and maintaining shared team reports
  • Ability to investigate invoice discrepancies and coordinate with sales, customer service, finance, and operations teams to resolve outstanding issues
