Property Management Assistant (UK Lettings)

Overview

Our client is looking for a Property Management Assistant to serve as the operational heartbeat of a busy UK residential lettings portfolio. In this role, you will manage end-to-end tenancy lifecycles for approximately 50 properties, serving as the main point of contact for tenants, contractors, and key stakeholders. You will drive maintenance resolutions, oversee seamless move-ins and move-outs, and ensure airtight compliance and record-keeping across all stages.

Schedule: Mon-Fri, 9:00 AM - 6:00 PM GMT (with 1-hour break)

Responsibilities

  • Manage property maintenance requests by logging issues, coordinating contractors, and tracking resolution through the company's system
  • Oversee the move-in process from tenant referencing through contract signing and payment collection, ensuring files progress in a timely manner
  • Coordinate move-out procedures including arranging checkout clerks and assessing deposit deductions based on checkout reports
  • Monitor and action rent reviews by notifying tenants of upcoming changes and updating records accordingly
  • Handle inbound and outbound calls related to property management enquiries and tenant communications
  • Maintain accurate records and notes across the company's property management software and tracking spreadsheets

Requirements

Must-have requirements:

  • Prior experience in property management or lettings coordination, preferably within the UK market
  • Strong organisational skills with the ability to manage multiple concurrent tasks across a property portfolio
  • Excellent written and verbal communication skills for tenant and contractor interactions
  • High level of attention to detail, particularly when handling contracts, deposits, and financial records
  • Ability to work independently with minimal supervision while maintaining consistent output
  • Familiarity with property management workflows including referencing, tenancy agreements, and deposit schemes

Nice-to-have requirements:

  • Bonus if you have hands-on experience with UK deposit protection schemes (e.g. DPS, TDS, or mydeposits)
  • It helps if you have used dedicated property management software platforms in a previous role
  • Bonus if you have previous experience working remotely in a lettings or property coordination capacity

Independent Contractor Perks

  • Permanent work from home
  • Immediate hiring
  • Health Insurance for eligible locations
