Client overview

Our client, is an established industry leader across Canada with nearly 75 years of experience specializing in farm taxes and small business tax and payroll solutions. Operating across most Canadian provinces, they provide essential financial services to a dedicated nationwide member base. As part of a strategic initiative to streamline operations and elevate member service, they are building out an offshore operational team to handle backend data processing while maintaining strict accuracy and data integrity.

Job description

You will play an essential operational role as a Payroll Data Entry Specialist, serving as the foundational backbone for the payroll department. In this dedicated back-office position, you will review incoming member payroll communications, audit raw data for discrepancies or missing fields, and accurately input entries into the client's payroll system. Working closely with senior payroll administrators in Canada, you will ensure data integrity without handling direct client communications. This is an ideal position for a meticulous, detail-driven professional who excels at logical problem-solving, high-accuracy data entry, and proactive internal team collaboration.

Schedule

  • Monday to Friday between 8AM - 4:30 PM Canada (Eastern Time - ET); 4 hours per day, 20 hours/week; flexible daily volume with overtime availability

Responsibilities

  • Accurately process and input member payroll information into the central payroll platform.
  • Audit incoming member data to identify inconsistencies, logical errors, or incomplete fields (e.g., verifying Canadian 9-digit Social Insurance Numbers) prior to entry.
  • Flag data discrepancies immediately to senior Canadian payroll administrators and collaborate daily via Microsoft Teams/video to resolve queries.
  • Maintain exceptionally high accuracy standards to support final payroll verification and approval runs by senior staff.
  • Adapt to daily volume fluctuations and support peak operational periods, including the year-end T4 tax filing season in February.
  • Adhere strictly to secure data privacy guidelines when handling sensitive employee and organizational financial records.

Must-have requirements

  • Demonstrated experience in high-volume data entry, data auditing, or administrative processing with exceptional accuracy.
  • High analytical skill and attention to detail—ability to spot numerical mismatches, missing digits, or irregular entries naturally.
  • Excellent written and verbal English communication skills for seamless daily collaboration with Canadian team members.
  • Capability to work Canadian Eastern Time (ET) business hours, including willingness to work overtime during peak accounting and tax cycles.
  • Willingness to complete a cognitive and data processing assessment evaluating logic, speed, and accuracy (e.g., Wunderlic assessment).
  • Self-motivated, proactive attitude with a strong willingness to ask questions and learn new systems.

Nice-to-have requirements

  • Previous experience in payroll processing, bookkeeping, or financial data entry.
  • Familiarity with Canadian payroll standards or tax concepts (full system and workflow training will be provided).
  • Proven track record of working effectively in remote team environments using digital collaboration tools like Microsoft Teams.

Why join this team

  • 100% remote role with enterprise-grade remote security tools provided.
  • Extensive onboarding and complete operational training on Canadian payroll processes.
  • Join an established, stable organization with nearly 75 years of proven industry leadership.
  • Pure back-office focus: zero external customer calls, allowing you to focus entirely on data processing excellence.
  • Opportunity to be part of an expanding offshore initiative with potential for future career growth.
