Construction Project Coordinator (Wunderbuild)

Job Overview

Our client is looking for a Construction Project Coordinator (Wunderbuild) to join their team. This position exists to reduce operational friction across RCC’s custom home business. The coordinator will build reliable project information and repeatable workflows, so senior team members spend less time chasing details and more time on clients, construction, and business improvement.

This is a senior coordination role with operational ownership and influence, without formal line management. The successful candidate will plan agreed workstreams, seek information, follow up colleagues respectfully, identify bottlenecks, and recommend solutions. Rob, Nicole, Justin, and Dan retain their respective management, commercial, client, and site decisions.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

Wunderbuild and Operating Information

  • Review RCC’s current setup, actual work practices, and data before proposing changes.
  • Maintain accurate project, estimate, purchasing, and action information; trace mismatches to their source.
  • Improve workflows, reports, and consistent team use with agreed change control. Develop simple user guidance and work with vendor support as needed.
  • Prepare concise, reliable management and meeting reports that identify missing information, overdue actions, and decisions required.

Preliminary Process and Project Coordination

  • Set up and track Preliminary Process projects, consultant inputs, design meetings, current plans, and outstanding actions.
  • Coordinate information between design, engineering, selections, estimating, and the RCC team. Keep the current revision clear and distribute it to the right people.
  • Plan assigned workstreams, name owners and due dates, follow up, escalate material delays, and close actions.
  • Support supplier and subcontractor information flow while site scheduling and technical construction direction remain with RCC management.

Purchasing, CRM, and Records

  • Prepare and, where authorised under RCC’s approval process, issue purchase orders from approved scope and pricing. Maintain records and follow up confirmations.
  • Keep CRM stages, lead records, next actions, reminders, and approved sequences accurate. Justin remains responsible for direct lead relationship and calls.
  • Maintain controlled files, revision history, and accessible correspondence. Route technical, contractual, financial, and sensitive issues to the responsible person.

Estimating Development

  • Work initially alongside Rob on RFQs, follow-ups, scope and quote comparisons, estimate setup, pricing records, and suitable take-offs.
  • Progress to preparing increasingly complete estimates for Rob’s review, with defined accuracy checks and sign-off. Final pricing and commercial decisions remain with RCC’s authorised people. Responsibility transfers only when competence and workload allow.

Processes, Technology, and Content

  • Document and improve recurring work, train team members in agreed procedures, and evaluate suitable automation or AI using the sequence: understand, simplify, standardise, document, automate, and then apply AI where it adds value.
  • Validate outputs and protect client information, document versions, approvals, and commercial controls.
  • Coordinate approved organic social posts from RCC’s authentic project material when capacity permits; specialist copywriting is not a hiring prerequisite.

Requirements

  • Substantial residential construction experience and a clear grasp of the Australian residential project lifecycle, terminology, and documentation. Custom-home experience is strongly preferred.
  • Strong construction software capability. Direct Wunderbuild proficiency is highly desirable; advanced experience in a comparable platform is acceptable if transferable capability can be demonstrated.
  • Proven systems thinking and coordination across people, deadlines, documents, and data, without daily task-by-task direction.
  • Estimating experience or demonstrated aptitude and willingness to develop. Sound CRM administration, Excel, Word, and Outlook skills.
  • Practical AI use beyond text drafting, with evidence of checking outputs, protecting sensitive information, and improving a real workflow.
  • Excellent written and spoken English; constructive confidence, resilience, curiosity, follow-through, and the ability to contribute in team meetings.
  • Availability for a consistent full-time schedule aligned to Queensland AEST, reliable primary and backup internet, and a realistic power outage contingency.
  • Useful additional experience includes Queensland or North Queensland construction, cyclone-related requirements, procurement, quantity take-offs, compliance documentation, Xero, System Hub, Google Workspace, and organic social scheduling.
