KOL Manager

About the Role:

The client is seeking an energetic, organised, and commercially minded Influencer Outreach Executive to build and manage relationships with Key Opinion Leaders (KOLs), influencers, and content creators across Instagram, TikTok, YouTube, and other relevant social media platforms.

The successful candidate will play an important role in growing brand awareness and patient acquisition through strategic influencer partnerships.

This role will manage the relationship from the initial prospecting and outreach stage through to partnership, treatment commencement, and ongoing content delivery.

The ideal candidate is highly organised, confident communicating with influencers, commercially aware, and able to identify creators who align with the brand, target audience, and growth objectives.

Schedule:

  • Monday to Friday, 8:00 am to 5:00 pm (Australian Western Time, 40 hours per week)

Key Responsibilities:

1. KOL & Influencer Identification

  • Research and identify suitable KOLs, influencers, and content creators across:
    • Instagram
    • TikTok
    • YouTube
  • Other relevant social media platforms
  • Identify creators whose audience, demographics, engagement, and personal brand align with the target patient demographic.
  • Build and maintain a database of potential KOLs and influencers.
  • Research influencer audience demographics, engagement rates, content quality, and previous brand collaborations.
  • Identify emerging creators and opportunities to develop long-term partnerships.
  • Continually expand the pipeline of potential KOL partnerships.

2. Influencer Outreach

  • Initiate contact with potential KOLs through email, Instagram, TikTok, LinkedIn, and other appropriate channels.
  • Develop personalised outreach messages that clearly communicate the value of the partnership.
  • Follow up with prospective KOLs in a professional and timely manner.
    Maintain accurate records of outreach activity, responses, follow-ups, and partnership status.
  • Convert suitable prospects into meetings and partnership opportunities.

3. KOL Meetings & Relationship Development

  • Conduct meetings and calls with prospective KOLs to explain:
    • The company and its offering
    • Products and services
    • The patient journey
    • Benefits of partnering with the company
    • Partnership expectations
    • Content requirements
    • Campaign timelines
  • Build strong, professional, and long-term relationships with KOLs.
  • Answer KOL questions and coordinate internally where additional information or approval is required.
  • Identify opportunities to increase the value and longevity of each KOL relationship.

4. KOL Onboarding & Patient Journey Management

  • Manage each KOL from the point of agreement through to their initial consultation.
  • Responsibilities include:
    • Coordinate partnership agreements and ensure required documentation is completed.
    • Coordinate with relevant internal team members to activate the partnership.
    • Organise the KOL's initial consultation.
    • Follow up to ensure consultations are booked and attended.
    • Ensure KOLs understand the required treatment and content process.
    • Maintain accurate records of each KOL's onboarding status.
    • Identify and resolve issues that may delay onboarding or treatment commencement.

5. Content & Media Management

  • Manage the ongoing content requirements of each KOL partnership, including:
  • Coordinate the submission of KOL content for review where required.
  • Review submitted content to ensure it aligns with brand guidelines and agreed campaign requirements.
  • Provide clear and constructive feedback to KOLs where changes are required.
  • Ensure agreed content is posted to the KOL's social media channels within the required timeframe.
  • Maintain a content calendar for each KOL.
  • Track posting dates, content deliverables, and campaign commitments.
  • Follow up with KOLs regarding upcoming or overdue content.
  • Maintain records of all published content and campaign deliverables.
  • Monitor the performance and engagement of KOL content.

6. Content Strategy & Creative Development

  • Brainstorm creative content ideas that KOLs can utilise across Instagram, TikTok, and YouTube.
  • Identify opportunities to improve the quality, relevance, and engagement of KOL content.
  • Collaborate with KOLs to develop content concepts that align with campaign objectives and brand guidelines.

7. KOL Relationship Management

  • Maintain ongoing communication with active KOL partners.
  • Identify opportunities to develop high-performing KOLs into longer-term brand ambassadors.
    Build genuine, mutually beneficial relationships with creators.
  • Monitor partnership health and ensure agreed expectations are being met.
  • Escalate issues or relationship concerns to management where appropriate.

8. Reporting & Performance Tracking

  • Maintain an up-to-date KOL database and CRM.
  • Track:
    • Outreach activity
    • Meetings booked
    • Partnerships secured
    • KOL consultations booked
  • Provide regular reporting to the Marketing Manager / Senior Marketing Executive.
  • Identify trends and opportunities to improve KOL acquisition and campaign performance.

Key Performance Indicators (KPIs):

Performance will be measured against agreed targets, including:

  • Number of suitable KOLs identified per month
  • Number of KOLs contacted
  • Outreach response rate
  • Number of KOL meetings conducted
  • Number of new KOL partnerships secured
  • KOL onboarding completion rate
  • KOL consultation booking and attendance rate

Skills & Experience:

Essential:

  • Experience in influencer marketing, social media, marketing, sales, business development, or a similar role.
  • Strong understanding of Instagram, TikTok, and YouTube.
  • Excellent written and verbal communication skills.
  • Confident communicating with influencers and content creators.
  • Strong organisational and time-management skills.
  • Ability to manage multiple KOL relationships simultaneously.
  • Strong attention to detail.
  • Commercially minded with an understanding of conversion and performance.
  • Comfortable conducting meetings and presentations.
  • Ability to work independently and take ownership of responsibilities.

Desirable:

  • Experience with CRM systems.
  • Experience managing influencer campaigns.
  • Experience working with content creators, KOLs, ambassadors, or affiliate partners.
  • Experience in healthcare, beauty, dental, wellness, or consumer-facing brands would be advantageous.

Success in the Role:

Success in this position means building a consistent pipeline of high-quality KOLs, converting those prospects into partnerships, ensuring a smooth onboarding and treatment journey, and developing those relationships into ongoing, high-performing influencer partnerships.

The role is not simply focused on finding influencers. The successful candidate will own the relationship from initial outreach through ongoing partnership management, helping turn each KOL into a genuine and engaged brand advocate.
