Job Overview
The client is seeking an experienced Trade Estimator & Invoicing Coordinator to support quoting, invoicing, follow-ups, and general administration across their electrical, air-conditioning, and maintenance operations. This role is ideal for someone with experience in the electrical, HVAC, construction, building, or maintenance industries who understands how trade work is delivered, priced, and managed.
This is not a basic data-entry or administrative role. You will be expected to review technician reports, job notes, and site photographs, understand the work required, identify missing information, and prepare quotes and invoices that are both accurate and commercially sound. The chosen candidate will work closely with technicians, clients, suppliers, property managers, builders, and other stakeholders to ensure jobs are correctly scoped, priced, documented, and invoiced.

Monday - Friday, 8:00 AM - 5:00 PM Brisbane time, with a 1-hour unpaid break (40 work hours per week)
Responsibilities
Quoting & Estimating
- Review technician reports, photographs, measurements, and job notes to understand the required work.
- Prepare accurate and professional quotes for electrical, air-conditioning, and general maintenance works.
- Calculate labor, materials, access requirements, subcontractor costs, travel, and appropriate profit margins.
- Identify and price variations, additional works, and changes to the original scope.
- Verify supplier pricing, product availability, and lead times.
- Identify incomplete information, unclear scopes, or pricing risks before quotes are issued.
- Ensure quotes are competitive while maintaining appropriate margins.
Invoicing & Accounts Receivable
- Prepare invoices based on completed works and approved quotes.
- Ensure invoices accurately reflect labor, materials, variations, and other applicable charges.
- Review completed jobs against quotes to identify additional works or missed billable items.
- Follow up on outstanding quotes and overdue invoices professionally and consistently.
- Assist with accounts receivable and related administrative processes.
Job & Administration Coordination
- Maintain accurate and up-to-date job records in Tradify and other business systems.
- Assist with scheduling, job updates, email correspondence, and customer communication.
- Maintain and organize technician reports, photographs, approvals, purchase information, and other job documentation.
- Assist with supplier enquiries, purchase orders, and purchasing-related administration.
- Communicate effectively with property managers, builders, insurance companies, homeowners, suppliers, and technicians.
- Support general office administration and other operational tasks as required.
- Follow company procedures for quoting, approvals, variations, invoicing, and accounts receivable.
Requirements
- Previous experience in trade, construction, estimating, project coordination, or trade administration.
- Practical understanding of electrical, air-conditioning, plumbing, building, or maintenance works, including interpreting technical reports, measurements, job descriptions, and site photos.
- Strong understanding of trade pricing, labor allowances, materials, and profit margins.
- Experience preparing quotes and invoices, including following up on outstanding invoices and overdue accounts.
- Strong attention to detail with the ability to identify missing information, inconsistencies, and pricing issues.
- Strong written and verbal communication, organization, time management, and ability to manage competing priorities independently.
- Experience with job management, accounting, or CRM software; Tradify and/or Xero experience is highly desirable.

Success in this role will be measured by:
- Accurate, commercially sound quotes and invoices issued promptly.
- Labour, materials, access, variations, and other job costs correctly accounted for.
- Variations and additional billable work identified, documented, and priced appropriately.
- Outstanding quotes and invoices followed up consistently.
- Job records and supporting documentation kept complete and accurate.
- Administrative tasks completed accurately and within required timeframes.
- Pricing errors, missed billable work, and margin losses minimized.
- Clear, timely, and professional communication with clients, suppliers, technicians, and internal teams.
