Administrative Assistant

Overview

Our client is looking for an Administrative Assistant to serve as the operational backbone for a new suite of customer service programs. You will coordinate meetings, manage registrations, and ensure smooth communication between team leaders and participants for a growing US-based organization. This remote role places you at the center of an exciting launch phase, where your strong organizational skills and responsiveness will directly drive the success of new community initiatives. You will enjoy working independently on a flexible schedule while staying closely aligned with leadership through weekly check-ins.

Schedule:

  • Full-time, Monday to Friday, 8 hrs a day, flexible anytime (1 week meeting with the team at MST hours)

Responsibilities

  • Coordinate and schedule meetings for multiple program groups and ambassador team leaders
  • Sign up ambassadors for specific dates and times across various class offerings
  • Collect registrations from the website and organize them into rosters for team leaders
  • Process and manage requests for class changes and schedule adjustments
  • Respond to participant questions via email regarding programs, schedules, and logistics
  • Follow up on customer service inquiries and ensure timely resolution
  • Maintain accurate records and documentation for all program coordination activities
  • Provide administrative support for launching new group programs
  • Communicate regularly with leadership on program status and coordination needs

Requirements

  • Proven experience as an administrative assistant or in a customer service coordination role
  • Strong proficiency in Microsoft Excel for organizing data and creating rosters
  • Excellent written communication skills for professional email correspondence
  • Ability to manage multiple programs and schedules simultaneously
  • Self-starter who can work independently on a flexible schedule
  • Strong organizational skills and attention to detail
  • Comfortable managing coordination tasks without phone-based customer interaction

Nice-to-Have Requirements

  • Bonus if you have experience coordinating group programs or classes
  • It helps if you've worked with team leader or ambassador structures
  • Bonus if you have experience collecting and managing online registrations
  • It helps if you're familiar with remote collaboration tools for weekly team meetings
