Real Estate Marketing & Admin Coordinator

Job Overview

Our client is seeking a highly organized, detail-oriented, and proactive Real Estate Marketing & Admin Coordinator to provide administrative and marketing support to a team of real estate sales professionals. The successful candidate will assist with CRM and client database management, property listing preparation, marketing coordination, document management, and general administrative tasks. The role requires someone who can work independently, manage multiple priorities, and communicate effectively with salespersons and internal teams. Previous experience in real estate administration or agency support is highly desirable, as the role involves working with property listings, open homes, marketing campaigns, vendors, and sales-related documentation.

Schedule

  • Monday - Friday, New Zealand business hours (20 work hours per week)

Responsibilities

Client & Contact Database Management

  • Maintain accurate CRM records, including contacts, prospects, open home visitor details, and client transactions.
  • Set reminders for house purchase anniversaries at 1 month, 6 months, 12 months, and annually thereafter for agent follow-up.
  • Maintain client transaction spreadsheets and records for relationship activities, including Christmas cards and holiday gifts.

Listing Preparation & Marketing Administration

  • Enter marketing proposals and property listings into Monday.com and prepare marketing investment schedules and calendars using Word templates.
  • Coordinate property marketing requirements, including auctioneers, signage, photography, videography, advertising, brochures, and open home materials.
  • Organize and upload approved property images, media, marketing copy, and listing information to the CRM, and process listing amendments as directed.
  • Coordinate with the Office Administrator and marketing team on campaign requirements, documentation, and vendor marketing feedback reports.

Personal Profiling & Social Media

  • Request client testimonials through RateMyAgent and create social media content using approved templates and the Design Vault.
  • Support salespersons in maintaining their personal profiles and online presence.
  • Ensure all content is accurate, professional, and aligned with brand guidelines.

General Administration

  • Maintain organized and up-to-date property files and save email attachments and documents in SharePoint.
  • Coordinate with the Office Administrator to follow up on missing or outstanding property documentation.
  • Monitor outstanding tasks, proactively follow up, and provide salespersons with updates on completed tasks or required information.
  • Provide general real estate administration support as requested by salespersons.

Requirements

  • Previous experience in real estate, property, sales administration, or a similar role, preferably with a New Zealand or Australian agency.
  • Advanced Microsoft Office skills, particularly Word and Excel, with experience using CRM systems and maintaining accurate client records.
  • Experience with Monday.com or similar task management platforms; familiarity with SharePoint, RateMyAgent, and real estate CRMs is an advantage.
  • Strong written and spoken English, attention to detail, organization, time management, and confidentiality.
  • Ability to manage multiple property campaigns, work independently with minimal supervision, and take ownership of tasks.
  • Comfortable interpreting WhatsApp voice notes, translating instructions into actionable tasks, following through, and asking timely questions.
  • Proactive, reliable, adaptable, solutions-focused, and able to learn new systems quickly; available for 20 hours/week aligned with New Zealand business hours.

Nice to Have

  • Experience with Canva or similar design tools.
  • Knowledge of property marketing and listing processes.
  • Adobe InDesign and Photoshop proficiency.
