Overview
Our client is looking for an Executive Assistant to provide high-level support to senior executives managing multiple businesses, investments, and priorities. In this role, you will act as a trusted operational extension, bringing structure and efficiency to complex calendars, email communications, travel arrangements, and critical task follow-ups. The ideal candidate actively anticipates administrative needs, resolves potential conflicts independently, and thrives in a fast-paced environment. By keeping operations organized and predictable, you will empower executive leadership to stay focused on high-value business decisions.

- Monday–Friday, standard U.S. Eastern Time business hours
Responsibilities
Calendar & Schedule Management
- Proactively manage complex calendars and recurring executive commitments across multiple time zones.
- Protect focus time, resolve scheduling conflicts early, and build appropriate buffers for travel and meeting prep.
- Coordinate high-level leadership and investment meetings while maintaining executive visibility on daily priorities.
Executive Inbox & Email Management
- Monitor, organize, and route email communications while surfacing high-priority and urgent items.
- Draft routine responses, track required follow-ups, and keep inboxes uncluttered.
- Maintain strict confidentiality while helping executives distinguish between items needing attention, decisions, or delegation.
Executive Travel Management
- Plan and book detailed domestic and multi-city international travel, including flights, hotels, and ground transport.
- Build organized travel itineraries and handle adjustments, delays, or cancellations seamlessly.
- Align executive itineraries with travel preferences, business needs, and scheduling requirements.
Meeting & Administrative Support
- Organize internal and external meetings, prepare agendas, and compile supporting documents or presentations.
- Capture meeting notes, track action items, and maintain organized digital filing systems.
- Assist with basic correspondence, document approvals, expense reports, contact lists, and executive requests.
Executive Follow-Up & Task Management
- Maintain executive task lists, track action items, and remind leadership of upcoming deadlines.
- Follow up with team members and stakeholders to keep key deliverables moving forward.
- Provide priority summaries and close administrative loops proactively without constant oversight.
Cross-Business Coordination
- Gain a solid understanding of key stakeholders and operations across multiple business entities.
- Route requests effectively to prevent unnecessary executive escalation while keeping information segregated.
- Coordinate smoothly with employees, partners, investors, and vendors in fast-moving environments.
Requirements
- 3+ years of experience as an Executive Assistant, Administrative Assistant, Virtual Executive Assistant, Executive Support Specialist, Chief of Staff support professional, or similar role.
- Proven experience directly supporting senior executives, founders, business owners, or C-suite leaders.
- Strong experience in executive calendar management, inbox and email coordination, and domestic/international travel planning.
- Strong proficiency in Google Workspace, Microsoft Office, and AI tools for administrative productivity, alongside a willingness to learn new technologies.
- Excellent written and spoken English skills with exceptional organizational ability, time management, and attention to detail.
- Proven judgment and problem-solving skills, with the ability to prioritize competing requests, work independently, and manage multiple workstreams simultaneously.
- Excellent follow-through, task management capabilities, and a high level of discretion, confidentiality, and professionalism in an entrepreneurial environment.
- Reliable high-speed internet connection and a professional, distraction-free remote working environment.
- Full-time availability during standard U.S. Eastern Time business hours.
Preferred Qualifications
- Previous experience supporting a founder, entrepreneur, investor, or executive managing multiple businesses.
- Experience working remotely for a U.S.-based organization and supporting executives across multiple time zones.
- Experience with CRM systems, project and task management platforms, and expense management tools.
- Experience coordinating complex international travel.
- Experience preparing executive-level presentations, reports, and documents.
- Experience working across multiple companies, business units, or projects.
