Life Insurance Admin Assistant

Job Overview

Our client is the administrative backbone of a thriving insurance agency, taking ownership of critical processes that keep revenue flowing and clients satisfied. This role offers the perfect blend of data management, client communication, and business operations – with clear growth potential as the agency continues to scale. You’ll work directly with the owner to streamline operations that currently have $10,000-15,000 in potential revenue waiting to be processed.

Client Overview

Join a rapidly growing life insurance agency that has scaled consistently over the past 6-7 months and is expanding their team of agents. This dynamic agency processes 1-10 policy sales daily and is at a critical growth phase where administrative excellence directly impacts revenue and client retention. 

Schedule

Monday - Friday, 9:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Manage daily policy sales tracking and database updates for 1-10 policies per day
  • Submit reports to remove sold clients from lead databases to prevent duplicate outreach
  • Monitor and update policy payment statuses, documenting payment successes and failures
  • Track and categorize reasons for policy cancellations, payment errors, and client issues
  • Generate comprehensive Google Sheets reports providing revenue and business persistency insights
  • Manage email communications and alerts regarding client payment issues and policy updates
  • Conduct follow-up phone calls with clients who have missed payments or experienced payment errors
  • Maintain accurate records and documentation of all client interactions and policy statuses
  • Support book of business management to ensure client retention and satisfaction

Requirements

  • 2-5 years of experience in administrative or customer service roles
  • Strong proficiency with Google Sheets and data management systems
  • Excellent numerical and analytical skills with attention to detail
  • Comfortable making outbound phone calls and communicating professionally with clients

Qualifications

  • Bonus if you have bookkeeping or accounting experience
  • Familiarity with CRM systems (Ringy and GoHighLevel experience a plus)
