Medical Administrative Assistant / Insurance Verification Specialist

Position Summary

We are seeking a detail-oriented and proactive Medical Administrative Assistant / Insurance Verification Specialist to support healthcare operations for a US primary care practice. You will handle patient communications, verify insurance coverage, assist with prior authorisations, and manage a high volume of calls while keeping the patient experience professional and supportive.

Schedule: Full-time, Monday to Friday, 8:00 AM – 5:00 PM Pacific Time, with 1 hour unpaid break (40 hours per week)

Key Responsibilities

  • Patient Communication: Confirm appointments by phone and text, coordinate scheduling, and handle inbound and outbound calls in a high-volume environment.
  • Insurance Verification: Verify patient eligibility, coverage, and copays. Contact insurance providers to confirm benefits and document accurately.
  • Prior Authorisations: Process prescription and treatment authorisations, coordinate with insurers and providers, and follow up on pending approvals.
  • Administrative Support: Manage emails, file uploads, and documentation. Maintain accurate patient records and data entry.
  • Customer Service: Provide professional, empathetic support and resolve patient inquiries efficiently.

Qualifications & Requirements

  • Minimum 2 years of experience in insurance verification, prior authorisations, or medical administration.
  • Experience calling insurance providers and handling benefits verification.
  • Strong customer service background, preferably in healthcare.
  • Excellent verbal and written English communication skills.
  • Able to manage high call volumes and multitask effectively.
  • Proficient with email, CRM, EMR/EHR systems, and spreadsheets.
  • Strong attention to detail and accuracy.
  • Able to work independently and follow structured processes.

  • Strong problem-solving skills and the ability to resolve issues without constant supervision.
  • Organised and reliable with strong time management.
  • Comfortable working autonomously in a fast-paced, process-driven environment.
