Compliance Administrative Assistant
Overview
Our client is looking for a Compliance Administrative Assistant to play an integral role in supporting the day-to-day administration of their compliance program. You will serve as the primary connective tissue between clients and their compliance requirements by collecting documentation, tracking reports, and managing active SECOR audits. This opportunity is ideal for a detail-oriented professional who excels at managing multiple client files simultaneously and feels confident leveraging modern digital tools like Claude to keep operations running smoothly.
Schedule: Monday to Friday, flexible between 8:00 AM and 4:00 PM Mountain Time, with a maximum of 4 hours per day (20 hours per week)
Responsibilities:
- Send and receive documents with clients via email, tracking what's been requested, received, and still outstanding
- Export reports and pull completed forms from client compliance platforms for review and filing
- Set up and manage Dropbox links for sharing and collecting client documents
- Maintain and update a tracking spreadsheet reflecting the status of each client's documentation and compliance tasks
- Follow up proactively with clients who have missing or incomplete documents, particularly those undergoing SECOR audits, to keep timelines on track
- Maintain organized digital filing systems so documentation is easy to find and audit-ready
- Communicate with clients through Hubspot CRM, keeping records current and professional
- Use Claude to support day-to-day task and document workflows
- Collaborate with the team to flag risks, gaps, or delays in a client's compliance progress
Requirements:
- Comfort and familiarity with Claude, or strong ability to learn and use it in daily workflow
- Experience with CRM systems, particularly Hubspot, or ability to quickly learn new platforms
- Strong digital literacy with the capability to adapt to various client-facing compliance platforms
- Comfortable working in spreadsheets (Google Sheets/Excel) to track and update status information
- Exceptional attention to detail and organizational skills
- Professional written communication abilities in English
- Self-motivated with excellent time management and multi-tasking capabilities across multiple client files
- Experience in handling confidential information with discretion
- Reliable internet connection and quiet work environment
- Comfort with remote work environment and virtual communication tools
